Description

We are seeking a highly organized and discreet Executive Assistant/Personal Assistant to provide dedicated onsite support to a high-profile CEO and their family. This dynamic role requires a proactive individual with exceptional administrative, logistical, and personal support skills. The ideal candidate will be polished, service-oriented, and capable of managing a wide range of professional and personal responsibilities with precision and confidentiality. This position plays a critical role in ensuring the seamless operation of both the executive office and aspects of the family's day-to-day needs in a fast-paced, high-demand environment.

Responsibilities

  • Provide comprehensive executive administrative support to the CEO, including managing schedules, appointments, and travel arrangements.
  • Maintain and organize the CEO’s Outlook Calendar, ensuring efficient time management and prioritization of tasks.
  • Prepare and edit correspondence, reports, presentations, and other documents with a high level of accuracy and attention to detail.
  • Handle incoming communications, including phone calls and emails, with professionalism and courtesy.
  • Assist in office management tasks such as maintaining supplies, organizing files, and ensuring a productive work environment.
  • Conduct research as needed to support various projects or initiatives led by the CEO.
  • Proofread documents for clarity and correctness before distribution.
  • Foster positive relationships with internal teams and external stakeholders through excellent customer service.
  • Sourcing, scheduling, and managing contractors.
  • Maintain family calendar.
  • Work with professional Executive Assistant to coordinate schedules.
  • Pay vendor/contractor bills as requested.
  • Vehicle management.
  • Booking and arranging travel, transport, and accommodations.
  • Collating and filing expenses.
  • Liaising with staff, suppliers, and clients.

Requirements

  • Bachelor's degree or the equivalent years of experience preferred.
  • 3+ years’ experience as a Personal Assistant preferred.
  • 3+ years supporting a senior level executive in an Executive Assistant capacity preferred
  • Must have a valid state issued Driver’s License.
  • Must possess experience with boat management
  • Must possess experience with house/domicile management
  • Must be available 24/7
  • Proficient with computer software (Word, Excel, Power-Point, etc.).
  • Prefer experience working in health care.

This position must be local to the area and live within the 30 minutes distance of 33480. Three to five references will be required. The role requires in person presence onsite at the family home.
