Estate | Property Manager – Woodside, CA

A private family with a primary residence in Woodside is seeking a highly capable and proactive Estate | Property Manager to oversee multiple properties and manage all aspects of daily operations and long-term planning. This hands-on role requires excellent judgment, follow-through, and a solutions-oriented mindset. The right candidate will bring a strong blend of property management experience, technical know-how, and a calm, service-driven presence.
About the Role
The main residence is a 10,000 sq ft home with extended amenities including a pool and a gym. This property requires regular inspections, attention to detail, and a commitment to maintaining luxury standards at all times. A nearby secondary property undergoing renovations will also fall under this role’s purview, making experience in construction oversight and remodels highly desirable. Additionally, the Estate Manager will remotely manage two other properties – one domestic and one international – in partnership with local contacts.
Please read: This is not a desk job. We are looking for someone who is extremely hands-on, flexible to be in-person and on-site as much as needed, and able to troubleshoot home systems independently. A comfort level with home technology (HVAC, solar, A/V, automation, security, etc.), coupled with the ability to roll up your sleeves and tackle minor repairs or issues directly, is essential.
Key Responsibilities
- Maintain the main residence and grounds to a luxury hotel standard, using detailed checklists and regular inspections
- Personally handle small repairs and system checks to minimize vendor reliance
- Oversee ongoing renovations and serve as point of contact for contractors, architects, and designers
- Manage a small team, including vendors to ensure seamless operations
- Oversee secondary properties remotely, coordinating maintenance, readiness for visits, and high-touch oversight
- Manage capital projects, system upgrades, and long-term planning across properties
- Occasionally support light event coordination and property acquisition logistics
- Ensure household systems are documented, maintained, and continuously optimized
- Provide responsive, clear communication to principals and other stakeholders via text, Slack, Zoom, among other platforms
Ideal Candidate Qualifications
- Minimum 5+ years of hands-on experience in estate management
- Local to the Bay Area; specifically no more than 30 minutes from Woodside, CA
- Highly skilled in managing construction projects and residential systems
- Strong project management and organizational skills
- Able to prioritize competing demands and shift gears as needed
- Technically savvy, with the ability to learn and manage advanced systems
- No task is too small – takes pride in maintaining the property personally
- Calm, composed, and excellent with real-time communication
- Flexible schedule with availability to be onsite multiple days per week, and on-call as needed
- Willing to travel 1–2 times a year to support other properties on the east coast and internationally
Compensation
- Target compensation: $140,000–$175,000 (salary + healthcare stipend + discretionary bonus, DOE)
