Title: Personal Assistant/House Manager
Location:  Essex County, NJ
Salary:  $120,000 - $140,000 + 2 weeks PTO (no insurance)
Schedule:  In Home Monday through Friday Standard Business Hours (with flexibility to travel to South NJ beach home as needed)
 
Overview: We are seeking an experienced and professional House Manager/Personal Assistant to support a dynamic household with two working parents and two young children. This individual will be responsible for managing daily operations, including household staff supervision, vendor coordination, scheduling, and providing personal assistant services. The role requires exceptional organizational skills, discretion, and the ability to anticipate and respond to the needs of the family proactively.
 
Key Responsibilities:

  1. Calendar Management:
    • Maintain and manage the family calendar, coordinating personal appointments for the principals and their children.
    • Schedule school activities, extracurricular events, medical appointments, and travel itineraries.
  2. Financial and Administrative Duties:
    • Handle bill payments and monitor household expenses.
    • Ensure accurate record-keeping and budget adherence.
  3. Vendor and Construction Oversight:
    • Schedule and supervise contractors and vendors for ongoing construction projects at the primary residence.
    • Oversee maintenance and vendor activities at the secondary beach home.
  4. Errands and Transportation:
    • Run errands as needed, including shopping, picking up deliveries, and other tasks.
    • Occasionally drive the children to activities and appointments.
  5. Household Maintenance and Staff Management:
    • Schedule and oversee home maintenance services.
    • Manage and provide direction to full-time domestic staff at both residences.
  6. Personal Assistant Responsibilities:
    • Provide personal support to the principals, including correspondence, gift purchasing, and event planning.
    • Anticipate the family’s needs and ensure all necessary preparations are in place.

Requirements:

  • Experience: Minimum 5-7 years of experience in a similar role as a House Manager or Personal Assistant.
  • Education: Bachelor’s degree required.
  • Skills:
    • Highly organized and detail oriented.
    • Excellent communication and interpersonal skills.
    • Proactive and able to anticipate the needs of the family.
    • Adept at problem-solving and managing multiple priorities.
    • Discreet and respectful of confidentiality.
  • Technical Proficiency: Comfortable with scheduling software, Microsoft Office, and online tools for household management.
  • Additional Requirements: Valid driver’s license and a clean driving record.
