PERSONAL ASSISTANT/HOUSE MANAGER, AUSTIN, TX

Highly organized and on-point Personal Assistant/House Manager is needed in Austin, TX to support a very busy CEO. This role oversees a private residence that doubles as an office and studio, manages purchasing and logistics, supports podcast recording and guest hospitality, coordinates health and wellness tracking, prepares for travel and maintains expenses and schedules in partnership with the Senior Executive Assistant to the CEO

 Responsibilities

  • Maintain residence and studio to guest ready standards including daily tidying, emptying dishwasher and light laundry
  • Coordinate facilities, vendors and contractors and liaise with landlord as needed
  • Create and maintain storage and organization systems across the home and studio
  • Prepare for events at the residence with set up, guest room preparation and post event reset
  • Oversee equipment setup, basic maintenance, and coordination for installs or disposal of unused equipment
  • Manage procurement and logistics including domestic and international purchases deliveries and organization
  • Track inbound packages tied to recording deliverables and coordinate readiness with the deliverables team
  • Assist with podcast recording setup and host guests with polished hospitality
  • Maintain a supplement tracking spreadsheet with types, dosages and notes and arrange medical and lab testing and related insurance reimbursements
  • Keep accurate expense records and update the expense spreadsheet every Friday
  • Prepare travel items including supplements, protein baggies and other needs, and assist with packing ahead of trips
  • Coordinate personal appointments in tandem with the Senior Executive Assistant to the CEO and integrate calendars
  • Manage vehicle needs including fuel, tire pressure, repairs, upgrades and maintenance log
  • Exercise strict discretion and confidentiality in all matters
  • Run errands and complete ad hoc tasks as directed

Requirements

  • Prior experience as a Personal Assistant or House Manager supporting an UHNW principal with at least 5-7 years of experience (longevity required)
  • Excellent multitasking organization and communication skills
  • Proven discretion and commitment to confidentiality
  • Proficiency with administrative tools spreadsheets and basic inventory systems
  • Comfortable working in a fast paced and dynamic environment with changing priorities
  • Flexibility to work outside standard hours for urgent tasks and events
  • Valid driver’s license and ability to travel locally for errands

 Location: Austin, TX on site, at a private residence (no relocation offered)

Schedule:  Monday to Friday 30 hours per week with flexibility for urgent tasks, events (must be flexible with hours)

Salary and Benefits: up to $80K (DOE); PTO and access to corporate benefits where available
