A prominent family is seeking a trusted Family Executive Assistant/Chief of Staff to oversee the day-to-day housekeeping operations, ensure the seamless running of multiple properties, and assist with a variety of administrative and personal support tasks. Key Responsibilities

Housekeeping & Household Operations

  • Develop and maintain a detailed cleaning manual and schedules (daily, weekly, monthly) for all properties.

  • Oversee, train, and support housekeeping staff to ensure all areas are cleaned and maintained to high standards.

  • Conduct regular quality control checks of cleaning tasks and address issues promptly.

  • Manage household inventory, including cleaning supplies, food storage, pantry items, and household essentials; place orders and give timely reminders to restock when needed.

  • Ensure linens, laundry, and dry cleaning are cared for properly, including quality control, stain checks, ironing, steaming, and repairs as needed.

  • Provide daily light housekeeping when required (kitchen, master bath, closets, drawers, making beds, etc.).

  • Ensure outdoor structures (doors, fences, gates, windows, sidewalks, etc.) are clean and maintained, coordinating with staff or vendors when needed.

  • Step in to perform housekeeping or other tasks when other staff are unavailable or additional support is needed.

  • Organize and execute deep cleaning projects and seasonal household refreshes.

  • Assist with packing and unpacking the family for travel.

Pet Care

  • Provide temporary care for family dogs until a trusted pet care provider is hired.

  • Walk and feed dogs three times daily, wipe their paws after walks, and report any health concerns.

  • Bathe, brush, and provide routine hygiene for dogs, including brushing teeth and ensuring cleanliness.

Administrative & Personal Support

  • Coordinate with household staff to manage maintenance, repairs, vendors, and contractor visits.

  • Maintain detailed household records: cleaning tasks, inventory, staff schedules, and project timelines.

  • Manage staff scheduling, including coordinating vacation days and ensuring coverage.

  • Assist with family scheduling and calendar management for business, personal, and medical appointments.

  • Oversee travel logistics, including flights, hotel bookings, car services, and vehicle maintenance.

  • Handle errands, deliveries, returns, shipping, and printing labels as needed.

  • Assist with personal projects and requests, such as:

    • Arranging flower deliveries and gifts for family and friends.

    • Coordinating special events at the home.

    • Working with chefs for special dinners and gatherings.

  • Support the preparation of properties for holidays, events, and guests.


Required Skills & Qualifications

  • Minimum 3+ years of experience in a supervisory housekeeping or estate management role (private estate experience required).

  • Strong leadership, organizational, and time management skills.

  • High attention to detail with a commitment to cleanliness and hospitality.

  • Excellent communication skills and ability to manage relationships with staff and vendors.

  • Proficiency in basic computer skills (Google Calendar, email, spreadsheets etc.).

  • Flexibility and willingness to adapt to evolving priorities.

  • Must be comfortable with pet care and working around dogs.

  • Ability to travel occasionally and adjust hours when needed.
