Personal Assistant/Property Manager (50:50)

 

We are in search of a full-time personal assistant/property manager for our family office.

 

  • To work with family members, business colleagues, staff, vendors, and personal contacts with confidentiality, discretion, and diplomacy.

 

  • Excellent office management skills including scheduling, calendaring, forecasting & making/adjusting travel arrangements & accommodations.

 

  • Must have prior executive support experience with multiple software programs on PC. including MS Office, QuickBooks, Teams, Zoom, text messaging, WhatsApp etc

 

  • Must be proficient with cloud based filing systems such as Sharepoint as well as have experience with paper filing systems.

 

  • Be able to multi-task with minimal supervision to track on going projects in addition to keeping employer’s daily calendar and scheduling appointments in the future  (medical, vendor, sports appointments and more) .

 

  • Superior oral and written communication skills to be able to supervise vendors, obtain estimates, manage projects and handle billing inquiries.

 

  • Phone availability on weekends a must

 

  • Must like pets and appreciate gardening

 

  • Some Travel to Puerto Vallarta, Mexico.  Bi-lingual would be a plus.

 

 

Property Management involves many of the same abilities and includes managing and delegating tasks to household staff.  Ensures operation of estate equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining up to date inventories; evaluating new equipment and techniques. Meet with vendors and documents work done in vendor logs and continually updates our Household Manuals.

This position works in tandem with our East Coast based executive assistant and property manager. There are divided roles and responsibilities but at the end of the day assistants work seamlessly together to ensure employers’ needs are met regardless of the assistant’s location. Assistants cover each other’s days off, sick days, holidays etc.

This position also requires flexibility in terms of time commitment. There are stress periods. Some are predictable and some are not, thus do recognize that you will be on call on weekends and evenings for emergencies and last-minute schedule changes.

During the summer months June – September this position may require travel to maintain face to face communications with us concerning long term assignments. Travel to Mexico every one to two months would be desirable. 

 

Job Type: Full-time

Pay: From $50.00 per hour upwards depending upon experience
