We are currently assisting our client, a private family office, with their search for an Estate Manager in Palm Beach, FL.
JOB SUMMARY:
The Estate Manager reports directly to the principals and will serve as a key role in overseeing and managing the operations of multiple large high-value properties. They will advocate for and represent their clients’ best interests including ensuring the smooth functioning, maintenance, and enhancement of the property, addressing both practical and strategic aspects.
The ideal candidate will have a calm, quiet and confident demeanor, remaining composed and discreet under pressure. They must be highly organized, with exceptional attention to detail and a strong sense of maturity and good judgment on everything they do. A natural love of dogs and ease around them is a must, they’re an important part of our environment.
Key Responsibilities:
- Strategically develop, manage, and implement property projects, including maintenance schedules, construction, landscaping, and small-scale repair work.
- Hire, schedule, and supervise household staff and contractors to meet all household needs.
- Oversee vendor selection and performance across services such as cleaning, maintenance, construction, and repairs.
- Manage construction and maintenance projects with a focus on cost-efficiency and high-quality standards always keeping the clients’ best interests first and foremost.
- Maintain and operate all security systems and protocols in coordination with the client’s security provider.
- Oversee the operating budget, review and approve invoices, and deliver regular financial reports.
- Keep the estate manual current, adapting it to meet evolving standards and expectations.
- Oversee daily care and well-being of family dogs, including feeding, grooming, exercise, vet appointments, and coordination with dog walkers or trainers as needed.
- Maintain vehicles and all other property assets.
- Collaborate with accounting and team members to ensure smooth operations, guest experience, legal compliance, safety, and vendor coordination.
- Handle purchases, errands, and routine maintenance tasks as needed.
- Plan and manage property-hosted events of all sizes.
- Ensure guests receive five-star, hotel-quality experience from arrival to departure.
- Serve in a hands-on leadership role, setting a standard of excellence and assisting where needed.
- The most successful candidate will be a team-player with extremely significant flexibility and 24/7 on-call availability.
Qualifications:
- Minimum 8 years working as a private Estate Manager combined with experience from the hospitality sector preferred.
- Demonstrated experience managing Florida coastal estates, with knowledge of salt-air corrosion, landscape resiliency, stormwater systems, and hurricane preparedness.
- 3 + years construction project management experience.
- 3 + years of hands-on experience caring for dogs in a private household or estate setting, with proven ability to manage routines, monitor health and behavior, and coordinate with veterinary and pet care professionals.
- Highly organized with strong written and verbal communication skills.
- Highly proficient in all aspects of personal computing, including Microsoft Word, Excel, and Outlook.
- Experience with smart home solutions, building control systems, and automated home systems.
- Current driver’s license and clear driving record.
- Successful completion of thorough background investigation and reference check.
