Executive Personal Assistant for 6 month assignment or possibly longer
Los Angeles candidates only!
We are seeking an exceptionally organized and resourceful Executive Personal Assistant to support a dynamic and creative individual. The ideal candidate will possess a blend of professionalism, discretion, and creativity, ensuring the smooth management of all personal affairs under the guidance of the Principals Head of Estate and Lifestyle. This role requires flexibility, a proactive mindset, and the ability to handle multiple tasks efficiently.
Key Responsibilities:
Support:
Manage daily calendar schedule, appointments, and travel arrangements.
Assist with event planning and coordination, including social gatherings and business meetings.
Handle confidential and sensitive information with utmost discretion.
Manage Executive Protection scheduling, staffing and travel arrangements
Administrative Tasks:
Organize and manage email correspondence, phone calls, and mail.
Prepare reports, presentations, and other documents as needed.
Maintain accurate digital records and filing systems.
Conduct research and provide summaries on various topics.
Vendor Management:
Assist in the coordination and execution of creative projects, initiatives and gifting.
Assisting with oversight between household staff and runner support on daily basis
Coordinating in regular scheduled vendor visits, appointments and client relationship
Travel Coordination:
Support in organizing domestic and international travel, including accommodations, itineraries, and transportation.
Liaison between flight executive protection team, support staff and principal
Guest management
Concierge / advance travel when needed for the principal
Communication:
Act as a liaison between the principal and the Head of Estate and Lifestyle and various vendors and business associates.
Ensure professional and effective written and verbal communication channels are maintained.
Qualifications:
Proven experience as a personal assistant, executive assistant, or similar role supporting high net worth individuals.
Exceptional organizational and time-management skills.
Strong written and verbal communication abilities.
High level of discretion and confidentiality.
Ability to multitask and prioritize effectively in a fast-paced environment.
High-level proficiency with G Suite (Google Workspace) applications.
Proficiency in Nines system
Familiarity with processional organization.
Flexible schedule and availability to travel, both domestic and international, as needed - valid driver's license and passport
Exceptional notetaking
Familiarity with accepting and sending Voicenotes / Audiofiles
Personal Attributes:
Proven experience as a personal assistant, executive assistant, or similar role supporting high net worth individuals.
Exceptional organizational and time-management skills.
Strong written and verbal communication abilities.
High level of discretion and confidentiality.
Ability to work independently and prioritize effectively in a fast-paced environment.
Familiarity with creative, lifestyle industries and an appreciation for the arts is a plus.
Flexible schedule and availability to travel as needed.
Adaptable and able to handle unexpected changes and challenges.
Professional demeanor.
