A prestigious and highly private HNW family is seeking an experienced Household Staff Manager / Personal Assistant & Lifestyle Manager (M/F) to oversee their newly built estate and ensure the seamless operation of all household affairs. The estate consists of a main house and a guesthouse capable of hosting up to 200 guests for official events, private gatherings, and family occasions. The role requires an exceptional leader who can recruit, train, and manage domestic staff while also handling personal assistant duties and providing lifestyle management services to the principals.

The ideal candidate will be an experienced estate and household manager with a background in luxury hospitality, private household management, and event coordination. This role demands a highly organized, discreet, and proactive professional who excels in staff training, household organization, event planning, and high-level personal assistance.

Responsibilities

Household & Estate Management:

  • Oversee the full operations of the estate, ensuring a five-star service level at all times
  • Manage the maintenance and upkeep of the main residence and guesthouse to the highest standards
  • Liaise with vendors, contractors, and service providers to ensure efficient estate operations
  • Implement and maintain household manuals, checklists, and SOPs for all areas of the estate
  • Ensure the estate is always prepared for visits from family, business associates, and dignitaries
  • Conduct regular property inspections and coordinate necessary maintenance or improvements

Domestic Staff Recruitment, Training & Supervision:

  • Recruit, train, and manage a professional team of household staff, including housekeepers, butlers, chauffeurs, and security personnel
  • Develop training programs to ensure high service standards and adherence to household protocols
  • Establish and enforce household etiquette, grooming standards, and confidentiality protocols
  • Schedule and oversee daily and weekly staff duties, ensuring efficiency and discretion
  • Conduct performance reviews and ongoing staff development to maintain excellence

Personal Assistant & Lifestyle Management:

  • Act as a gatekeeper and first point of contact for all personal and professional matters of the principals
  • Manage personal schedules, appointments, and diary coordination for the family
  • Handle all travel arrangements, including private jet bookings, visas, itineraries, and luxury hotel reservations
  • Coordinate wardrobe and shopping needs, including seasonal closet management
  • Assist in art, jewelry, and luxury asset management, liaising with specialists when needed
  • Oversee household finances, including budgeting, expenses, and payroll for staff
  • Handle personal correspondence, invitations, and RSVP responses on behalf of the family

Event Planning & Hospitality:

  • Plan and execute high-profile events, including dinners, business gatherings, receptions, and cultural events at the estate
  • Work closely with the international chef and catering team to develop exquisite menus for events
  • Ensure seamless event logistics, including guest accommodations, security, and entertainment
  • Manage high-profile guest relations, ensuring impeccable discretion and service
  • Oversee event setup, including table settings, floral arrangements, and ambiance curation

Security & Confidentiality:

  • Implement strict confidentiality agreements and security protocols for all staff
  • Work closely with the security team to ensure the safety and privacy of the family and estate
  • Act as the family’s point of contact for emergency situations and contingency planning

Requirements

  • Minimum 8–10 years of experience in private household management, luxury hospitality, or estate management for HNW or UHNW families
  • Previous experience managing large estates, luxury residences, or boutique hotels
  • Strong leadership and team management skills with a proven track record of training and supervising domestic staff
  • Extensive experience in event planning, VIP guest management, and high-end hospitality services
  • Fluent in English (additional languages such as French, Arabic, or Russian are a plus)
  • Advanced knowledge of luxury household operations, fine dining etiquette, and lifestyle management
  • Strong problem-solving, multitasking, and discretion skills
  • Proficient in household budgeting, accounting, and expense tracking
  • Tech-savvy with proficiency in Microsoft Office, project management software, and scheduling apps
