Our client in Coral Gables, Miami, is searching for an exceptional House Manager to bring organization, leadership, and a personal touch to their 14,000 sq. ft. residence and outbuildings. This dynamic role focuses on keeping track of multiple parallel workstreams (indoor/outdoor maintenance, upgrades and renovations, managing housekeepers, a chef,  a driver, and other household staff, overseeing vendors, managing expenses, bill pay and errands) to ensure the estate runs smoothly and efficiently.  The candidate must be a digital native and master Microsoft Outlook, Monday.com and will be trained in other apps/software used for project management and expense/billing.

The ideal candidate is a natural leader with outstanding organizational skills and a proactive mindset, capable of anticipating the family’s needs and addressing them with precision and care. The Principal has an EA in office and a Family Assistant. This position touches strictly on the management of the household.

Key Responsibilities

  • Manage property maintenance and address any issues promptly, including basic troubleshooting or hiring vendors as needed.
  • Coordinate with Architects for internal and external house renovations
  • Candidates must be comfortable with delivering monthly budget updates to the Family Office Controller and delivering the annual budget for the household. 
  • Provide the principal/team with a daily status update.
  • Oversee and coordinate the household team, ensuring tasks are completed to the family’s standards.
  • Manage vendors and service providers, including scheduling and quality control.
  • Maintain and update household manuals, inventories, and records.
  • Supervise and execute indoor/outdoor maintenance, ensuring timelines and expectations are met.
  • Provide personal assistance to the principals, including running errands, managing household schedules, and handling requests.
  • Assist with occasional event planning and execution, including overseeing holiday preparations, decorations, and gift logistics.
  • Oversee wardrobe management, including organizing, coordinating alterations, and ensuring the proper care of fine clothing.
  • Coordinate household purchases and supplies, including groceries, toiletries, and other essentials.

Job Requirements

  • Minimum of five years’ experience in a similar role with substantial longevity in past positions.
  • Experience managing budgeting and expense reporting.
  • Experience managing domestic staff and vendors.
  • Fluent in Spanish and English.
  • Tech-savvy and proficient with Microsoft Office and household technology.
  • Valid driver’s license with a clean driving record.
  • Physically fit, able to perform hands-on tasks when necessary.
  • Must be fully vaccinated for flu on an annual basis.
  • Must pass a background investigation, including social media risk evaluation.
  • Comfortable working occasional weekends or holidays as needed.
  • Loves dogs and enjoys working in a pet-friendly environment.

Compensation & Benefits

  • $130,000++ per year | DOE (base + bonus) – note, the compensation is open based on experience
