Part-Time Personal Assistant
Location: Denver, CO (with occasional travel)
About the Role
We are a private family office seeking a part-time Personal Assistant to provide dedicated support to the Principal(s) across a wide range of personal and professional activities. This position requires an individual who is discreet, highly organized, proactive, and comfortable working in a dynamic, fast-paced environment.
Core Responsibilities
Pet Care & Oversight
- Provide daily care for multiple dogs, including walking, feeding, light grooming, and overseeing veterinary appointments
- Coordinate pet supply orders and schedule additional services as needed
Personal Errands & Mail Management
- Handle purchases, returns, and repair requests
- Manage incoming and outgoing mail and coordinate courier services
Administrative & Organizational Support
- Maintain accurate files and records (both digital and physical)
- Draft and proofread correspondence, track memberships, and update emergency contact lists
- Prepare and process expense reports
Calendar & Contact Management
- Keep calendars current, ensuring all events and appointments are properly scheduled
- Manage event invitations and RSVP on behalf of the Principal(s)
- Maintain up-to-date contact information for key individuals
Event Planning & Coordination
- Assist with the organization of small and large events, including catering, logistics, and setup
Travel Arrangements
- Coordinate domestic and international travel plans, including booking accommodations and transportation
Vendor & Service Liaison
- Source, vet, and coordinate personal service providers as needed
Special Projects
- Conduct research and manage ad hoc projects and requests as assigned
Ideal Candidate Profile
- Exemplary discretion and professionalism; ability to handle highly sensitive and confidential information
- Exceptional organizational and multitasking abilities; meticulous attention to detail
- Service-minded and solutions-oriented, with a proactive and adaptable approach
- Highly proficient with technology platforms and applications (Microsoft Office, Mac OS, Adobe Acrobat, DocuSign, project management tools)
- Strong interpersonal skills; polished, poised, and able to represent the Principal(s) with tact and grace
- Flexibility to adjust to evolving priorities and occasional work outside standard hours
Qualifications
- Minimum 5 years of experience as a personal assistant or in a similar high-level support role
- Bachelor’s degree (advanced degrees or certifications a plus)
- Previous experience in a private household or family office setting preferred
- Comfortable working around pets, particularly dogs
- Ability to pass a background check and driving record screening
- Willingness to sign a confidentiality agreement
