Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant & Family Household Manager to manage the operational, administrative, and household needs of a busy family and their ranch. This dynamic role combines executive support with family assistance, ensuring seamless coordination across both personal and professional aspects of their lives. The ideal candidate will be a self-starter with a hands-on approach, able to handle multiple tasks, manage projects, troubleshoot household systems, and provide support to the family and their staff. The position demands flexibility, exceptional multitasking abilities, and a strong sense of ownership in maintaining a high standard of service.

Key Qualifications:

  • Highly organized with the ability to create and maintain structured workflows and systems
  • Proactive and resourceful, with the ability to anticipate needs and manage projects from start to finish
  • Strong attention to detail with an emphasis on quality and consistency
  • Tech-savvy with proficiency in tools such as Notion, GSuite, Apple, Slack, Canva, Google Sheets, and the ability to troubleshoot and manage home systems
  • Excellent problem-solving abilities and the ability to handle changing priorities
  • Strong communication skills (both written and verbal) with the ability to interact with multiple stakeholders
  • Experience in household management, executive assistance, and team leadership preferred
  • Flexible and available to work evenings or weekends, as needed

Primary Responsibilities:

Family & Household Management:

  • Oversee daily operations of the household, including staff management, task delegation (housekeeper, chef, etc.), and ensuring smooth family operations
  • Handle all household logistics, including organizing errands, shopping, scheduling, and maintaining supply inventories
  • Manage family calendars (appointments, medical, social events) and coordinate travel plans
  • Assist with pet care, child transportation, and provide backup support as needed
  • Ensure all household systems are functioning properly, troubleshooting technology and hardware issues as needed
  • Manage vehicle repairs, registrations, and coordinate with vendors for ongoing maintenance

Estate & Ranch Management:

  • Oversee the family ranch, ensuring routine maintenance, security, and compliance with local regulations
  • Coordinate and manage home improvement, renovation, and interior design projects, maintaining timelines and budgets
  • Review and manage vendor contracts, service schedules, and conduct inspections to ensure proper care of the property
  • Implement emergency and seasonal preparedness plans for the ranch and conduct regular reviews
  • Assist with ranch-related tasks, including livestock care, land management, and vendor coordination

Executive & Personal Assistance:

  • Provide general executive support, including email management, scheduling, correspondence, and research
  • Track household finances, handle bill payments, and maintain financial records
  • Manage miscellaneous projects, from personal errands to larger family initiatives
  • Serve as the point of contact for all stakeholders, ensuring effective communication and timely execution of tasks

Staff Leadership & Support:

  • Lead, train, and motivate household staff to ensure high standards of service and operational efficiency
  • Provide guidance, feedback, and support for staff members in daily tasks and long-term projects
  • Foster a culture of collaboration and excellence, ensuring all tasks are completed to the highest standard

Preferred Skills & Experience:

  • Previous experience in executive assistance, personal assistance, or family office management
  • Knowledge of estate and ranch management, with the ability to manage both property and personnel
  • Ability to manage multiple projects and balance administrative tasks with hands-on responsibilities
  • Exceptional time management skills, able to handle competing priorities and deadlines
  • Proficiency in using digital tools for household management, project tracking, and communication

Working Hours:

  • Full-time, onsite position (Monday-Friday), approx 50 hours/weeek with OT
