Part-Time
Busy professional who works from her townhouse seeks a well-rounded, confident, self-starting and very experienced personal/household assistant to work from her townhouse approximately 30 hours per week; Monday-Friday, and on a 24/7 basis within reason. To be successful the candidate must have an ability to work as needed with a full time Housekeeper to keep the house running smoothly with a “can do” attitude. The position will include a trial period. Candidate must be committed to a career path as a personal assistant with the desire to be a true “right hand” in all administrative aspects of managing a Principal’s life. Must be comfortable in a home office environment with teenagers and dogs and managing vendor relationships.
The ideal assistant will:
- Be a mature, detail-oriented, inquisitive, discreet and highly organized professional who is able to work independently, is a self-starter and has excellent common sense and judgment.
- Must have at least five years of prior administration experience, working in a home environment. Experience managing vendors is necessary.
- Must have prior personal assistant experience with a high net worth individual and understand the role of representing a principal to the outside world.
- Must be very comfortable with numbers and financial administration. Bookkeeping experience a plus.
- Must be highly computer literate and internet/tech savvy. I-phone and home computer access / set up required.
- Be discreet, reliable, diplomatic and trustworthy.
- Be able to write clearly and speak confidently with authority.
- Be comfortable with a variety of software platforms, including MAC, PC and, very importantly, Word, Excel and all Google applications.
Responsibilities will include but not limited to:
- Bill payments via a bill paying service; managing bank accounts and household expenses.
- Prepare annual budget and analyze expenditures.
- Prepare and maintain various Excel Spreadsheets.
- Weekly and monthly credit card reconciliation.
- Maintain a calendar that includes business and family.
- Maintain an e-filing system and manage paperwork at the residence.
- Manage relationships with vendors and service providers at NYC home and vacation home.
- Manage medical claims and reimbursements.
- Arrange travel and create travel itineraries.
- Liaise with accountants on tax preparation, lawyers as needed, and charitable organizations.
- Personal errands and special projects as needed.
