Experienced Personal Assistant and House Manager - needed ASAP for Single and extended family based out of Summerlin (The Ridges), Las Vegas Area

To be successful in this role, you should be well-organized, thorough, flexible, be able to act with limited guidance and be comfortable in dealing with 3rd parties on behalf of the family. This role will work with family members, vendors, and third-party contractors, with some interaction with the principal's business staff.  You should be confident and communicate clearly. Someone who can be gentle and sensitive with the family, yet assertive when dealing with outside vendors. Strong background of personal finance management and personal financial organization a must. Required to know how to prepare ingredients and basic meal preparation. 

 Duties and Responsibilities: 

  • Help build, manage and operate the administrative function for the family (important)
  • Be at the resident early to prepare small children for school in the morning, breakfast, hair, dress (Important)
  • Transport kids to school in the morning and pick up kids after-school, some days take kids to activities after school (Important)
  • Drive household members to run errands and doctor appointments (Important)
  • Manage the Las Vegas residences, and California residence,  include bill paying and other financial concerns (not a bookkeeper but an understanding of financials is needed)
  • Prepare meal according to recipes periodically (not every day) given Principal’s high level guidance (Important)
  • Identify, manage, oversee and negotiate with vendors and service providers (Important)
  • Supervise home repairs and be resourceful about seeking help on facility management issues (Important)
  • Prioritize and coordinate family’s calendar and meeting schedules
  • Research on family trips, coordinate and arrange all travel itineraries
  • Arrange accommodation and dining logistics locally and domestically
  • Be able to organize and plan intimate family events and small local household company events 
  • Be able to help host high level guests in home with catering and service
  • Manage and purchase items needed for family
  • Clerical duties of sorting mail, answering phones, data entry, and filing
  • Maintaining and organizing bills, emails, notes, spreadsheets, and all documentation trails
  • Labeling and filing electronic copies of various documents and personal items
  • Writing letters, thank you notes, sentiments
  • Meeting all necessary deadlines and anticipating employer needs
  • Creating excel spreadsheets and minor bookkeeping
  • Schedule and ensure full support for meetings, coordinates video teleconferences, conference calls, meetings to include reserving rooms, preparing for events and facilitating events as needed
  • Support Principals with other duties as required

Preferred Skills, Knowledge and Abilities: 

  • A seasoned Household Assistant with 3+ years of experience. NO job hoppers - this position requires long term work histories
  • Someone who loves children and has experience taking care of small children (2 and 5) (Important)
  • A household organizational expert with a keen eye for disorganzation and very self movitated to correct it (Important)
  • Someone who enjoys cleaning and organizing a home properly (Important)
  • An organizational ninja that can prioritize multiple tasks seamlessly with excellent attention to detail (Important)
  • Able to handle confidential information with discretion, tact, and diplomacy (Important)
  • Able to prepare healthy, simple meals (Important)
  • Adaptable to various competing demands and demonstrate the highest level of confidentiality, service and response
  • Excellent interpersonal communication skills with the ability to interact in a positive manner
  • Ability to communicate in a clear, concise manner with tact, diplomacy and flexibility
  • Able to build relationships with family members and other administrative/personal staff
  • Ability with prioritizing high volume workloads while ensuring priorities and deadlines are met
  • Strong technology skills, need to be proficient in G-Suite, MS Word, MS Excel, MS Outlook, and can learn new software like Discord, Telegram, WeChat, Microsoft Teams
  • Knows when and how to be assertive to get things done
  • Quickly responds to requests and does not need principals to follow up (takes ownership!)
  • Is responsible and possesses high integrity
  • University degree is a must
  • Monday - Friday (with odd Saturday or Sunday)
