A San Francisco-based family is looking for a sharp and highly detail-oriented Personal Assistant to join their team. You will always bring a proactive, problem-solving approach to the job, by establishing systems and processes to maximize productivity. From ever-changing travel to vendor management and day-to-day tasks, you'll have a knack for juggling multiple responsibilities with ease, always bringing calm in the eyes of a storm. The successful candidate will be reliable, with prior experience managing staff, vendors and household repairs. RESPONSIBILITIES:

  • Work in lockstep with Principal(s), including weekly meeting, to ensure that all tasks and projects are handled in timely and effective manager

  • Order household items (supplies, groceries) and maintain inventory to ensure supplies are always available

  • Coordinate heavy domestic and international travel for family and friends (including commercial/private aviation, lodging, transportation, activities)

  • Collaborate with household staff to ensure seamless service and support of family (chef, housekeepers, nannies, etc)

  • Book personal appointments for family members (confirm and reschedule as needed)

  • Develop effective systems and processes to streamline tasks and household management

  • Coordinate events independently and with vendors to successfully execute large and small scale events

  • Act as the main point of contact between family members and vendors, fostering a positive and productive environment

  • Work with the property manager of non-primary residence to ensure that the residence is maintained to principals’ preferences and always ready for family use

  • Maintain vehicles - handle repairs, gas, detailing

  • Manage gifting for friends and family members, bringing creative and

    thoughtful ideas

  • Provide as needed financial support - expenses, bill payment, invoice

    processing, etc

  • Oversees additional ad hoc special projects

     

     

    QUALIFICATIONS

  • 5-10 years of experience working as a PA for busy executives and/or family

  • High EQ: reliable and even-keeled

  • Extremely effective communication skills 
  • Exceptional attention to detail with a no task too big or too small approach

  • Management experience with a collaborative and team-oriented approach

  • Confidential and discreet

  • Experience managing household repairs, renovations and construction

  • Demonstrated complex travel coordination (including experience private

    travel highly preferred)

  • Experience implementing systems and processes to maximize efficiency and

    effectiveness

  • Proactive and solution-oriented approach to tasks/challenges

  • Strong proficiency in Spanish (written and verbal)

  • Ability to travel as needed (up to 10% of the time)

  • Verifiable references and successful completion background check
