We are currently assisting our client, a private family office, with their search for a Property Manager.

 

JOB SUMMARY:

The Property Manager will be responsible for the comprehensive maintenance, repair, and general upkeep of a large private residence, ensuring that all systems, equipment, and infrastructure are in excellent working condition. This role supports the smooth operation of the household by proactively managing both routine and preventive maintenance tasks, responding to emergencies, and assisting with general housekeeping duties as needed.

 

Key Responsibilities:

Maintenance and Repairs:

  • Conduct regular inspections of the property to identify maintenance needs and address them promptly.
  • Perform a variety of repair tasks, including plumbing, electrical, carpentry, HVAC, and painting.
  • Troubleshoot and repair household appliances, fixtures, and equipment.
  • Coordinate with external contractors and service providers for specialized repairs and maintenance projects.
  • Maintain records of all maintenance and repairs performed, ensuring timely updates to the Estate Manager or Facilities Manager.

Preventive Maintenance:

  • Develop and implement a preventive maintenance schedule to ensure the optimal functioning of all household systems (HVAC, plumbing, electrical, security, etc.).
  • Regularly service and maintain tools, equipment, and appliances, including changing filters, lubricating moving parts, and replacing worn components.
  • Monitor and maintain the property’s irrigation system, pool equipment, and other outdoor systems.

Safety and Security:

  • Ensure all safety systems, including smoke detectors, carbon monoxide detectors, fire extinguishers, and security alarms, are functioning properly and comply with safety regulations.
  • Conduct routine safety checks around the property, addressing any potential hazards immediately.
  • Monitor the security of the property, including gates, doors, windows, and cameras, reporting any concerns to the Estate Manager or security team.

Grounds and Exterior Maintenance:

  • Oversee the maintenance of the property’s exterior, including gardening, lawn care, and general landscaping tasks.
  • Perform seasonal tasks such as snow removal, gutter cleaning, and pressure washing of driveways and walkways.
  • Maintain outdoor furniture, grills, and recreational equipment, ensuring everything is clean, safe, and ready for use.

Support for Household Operations:

  • Basic set up and troubleshooting of AV and home systems and applications.
  • Assist with setting up and breaking down events, ensuring all areas are prepared and well-maintained.
  • Provide support during emergencies, such as power outages or severe weather events, ensuring the safety and security of the residence and its occupants.
  • Run errands and assist with other household tasks as needed, such as moving furniture or delivering packages.

Inventory and Supply Management:

  • Manage the inventory of maintenance supplies, tools, and equipment, ensuring all necessary items are in stock and well-organized.
  • Purchase and restock supplies as needed, keeping detailed records of inventory levels and expenses.

Household Support:

  • Assist with general housekeeping duties as needed, including light cleaning, organizing, and supporting other staff members to ensure the smooth operation of the household.

 

Qualifications:

  • Minimum of 3-5 years' experience in a lead role for finish construction or home services.
  • Proven experience in a maintenance role, preferably within a private residence, luxury hospitality, or high-end property management.
  • Strong technical skills in plumbing, electrical, HVAC, carpentry, and general handyman tasks.
  • Experience with AV and smart home systems. Crestron, Lutron, DMP, and Avigilon Cameras a plus.
  • Knowledge of preventive maintenance practices and ability to create and follow maintenance schedules.
  • Ability to operate and maintain a variety of tools and equipment safely and effectively.
  • Excellent problem-solving skills with a proactive approach to identifying and addressing maintenance needs.
  • Ability to perform physical tasks, including lifting, climbing, and working in various weather conditions.
  • Strong organizational skills and attention to detail.
  • Ability to maintain the highest levels of confidentiality.
  • Good communication skills and ability to work independently or as part of a team.
  • Valid driver's license and reliable transportation.
  • Flexibility to work varied hours, including weekends and holidays, as needed.

 

Preferred Qualifications:

  • Certifications in relevant trades (e.g., HVAC, plumbing, electrical).
  • Experience with smart home systems and technology.
  • Basic computer skills for managing maintenance schedules and inventory.
