Executive Personal Assistant- Bay Area 

Our confidential Peninsula-based client is seeking an exceptional Executive Personal Assistant to support a dynamic principal across a wide range of obligations. This is an exciting opportunity for a sharp, proactive, and tech-savvy individual with stellar organizational skills and a “no task too big or small” mindset. Responsibilities span household operations, vendor and staff management, family and personal calendar coordination, complex travel planning, and more. If you're calm under pressure, thrive in fast-paced environments, and love bringing order to chaos—this role is for you. 

Schedule: M-F, onsite, with flexibility to support outside of standard business hours as needed

Job Description 

Key Responsibilities

Household & Property Management

  • Oversee daily operations of a busy household and manage all aspects of personal administration
  • Source, vet, and manage vendors, contractors, and service providers
  • Supervise and collaborate with household staff, including housekeepers and au pairs
  • Ensure timely, high-quality property maintenance and services
  • Maintain household payroll records and vendor invoicing

Family & Child Coordination

  • Manage children’s calendars, including school, extracurriculars, appointments, and travel
  • Research and coordinate camps, activities, and enrichment opportunities
  • Maintain a shared family calendar (Google) for full household transparency

Travel & Logistics

  • Plan and coordinate complex domestic and international travel (private and commercial)
  • Manage accommodations, ground transportation, and itinerary development
  • Coordinate visa applications and travel documentation
  • Create and present organized, detailed travel itineraries

Executive Support

  • Manage the principal’s calendar, as well as family scheduling
  • Plan and provide support for private events and family gatherings
  • Handle personal errands and special projects with discretion
  • Maintain inventories of personal and household items
  • Assist with event coordination as needed

  • Technologically proficient (Google Workspace, spreadsheets, AI tools, etc.)
  • Creative and resourceful—especially in vendor sourcing and travel planning
  • Direct, confident communicator with excellent interpersonal skills
  • Comfortable managing up, down, and across teams with humility and professionalism
  • Trustworthy, discreet, and highly dependable (NDA required)
  • Systems thinker who continuously seeks to improve efficiency
  • Calm under pressure and capable of pivoting quickly as priorities shift
  • “No task too big or small” mindset with an innate sense of service

Requirements

  • Clean driving record and reliable vehicle
  • Clean background check and verifiable references
  • Willingness to travel on occasion
  • 24/7 mindset and flexible availability

Schedule: 

  • M-F, onsite at the Principal’s home with flexibility for after hours support

Compensation: 

  • DOE, benefits, 401k and discretionary bonus 
  • Staff housing available in a separate residence adjacent to the principal’s home (though Live on is not required, but offered)
