Hours: 9am - 5pm Monday through Friday with flex as needed

Executive Personal Assistant – UHNW Individual (Gladwyne, PA Area)
A distinguished, yet young and vibrant, ultra-high-net-worth (UHNW) client near the Gladwyne area of Pennsylvania is seeking an Executive Personal Assistant to provide high-level administrative and personal support. This role requires a highly discreet, detail-oriented, and resourceful professional who is experienced in catering to high-profile individuals with complex personal and financial portfolios.
The ideal candidate must be available two days per week in person and remotely for the remainder of the week, with 24/7 availability for urgent calls, texts, and emails as needed. Ideally this person will also extremely proactive and excellent at closing the loop and keeping principal informed of ongoing lists/projects and or the conclusion of certain items
Oversee and coordinate all appointments, reservations, meetings, and personal engagements with precision.
Travel & Itinerary Coordination: Arrange domestic and international travel, including private jet bookings, hotel accommodations, car services, and customized itineraries.
Keeping track of contacts and helping to facilitate ADMIN work as related to her business
Financial Oversight: Assist in managing multiple bank accounts, trusts, and investment-related financial matters, ensuring seamless organization and tracking.
Support the client’s transition into an existing home, ensuring all personal needs are met, including setting up essential services such as WiFi, HVAC, A/C, security systems, and utilities.
Manage and organize extensive paperwork related to the estate/real estate, legal, and financial affairs
Admin work for the principal’s company
Identify and engage top-tier professionals for appraisals, home services, maintenance, and other specialized needs.
Assist in getting the principals set with trainers, groomers, hairdressers that are local
Lead and oversee large-scale projects on behalf of the client, ensuring timelines and deliverables are met efficiently.
Maintain and update a comprehensive contact database of business, personal, and service-related relationships.
Source and procure high-end, personalized gifts for clients, friends, and associates, while also assisting in planning and managing private events and social functions.
Key Qualifications & Requirements:
Proven experience as an Executive or Personal Assistant to UHNW individuals or high-profile clients.
Strong financial acumen with experience handling trusts, investments, and high-value transactions.
Ability to manage highly confidential and sensitive information with discretion.
Highly organized, proactive, and adept at multitasking in a fast-paced, high-expectation environment.
Exceptional communication skills with the ability to liaise seamlessly with top-tier professionals, vendors, and household staff.
Tech-savvy with proficiency in Microsoft Office, Google Suite, and financial tracking tools.
A flexible, service-oriented mindset with the ability to anticipate needs and provide white-glove support.
