Estate Manager – Historic Hudson Valley Property

An experienced and hands-on Estate Manager is sought for a historic, multi-residence estate encompassing several hundred acres in Millbrook, New York in the Hudson Valley. This estate has been owned by the same family since 1787, offering a deep sense of continuity and stewardship. The property includes a substantial main residence and several additional homes.

This is a full-time, live-off position with primary responsibility for day-to-day estate operations, oversight of all structures, facilities, gardens and landscape, and serving as the on-site liaison to the Family Office and family members. The Estate Manager will coordinate with the family member overseeing the thoroughbred breeding operation and modest cattle program but will not be directly responsible for such activities.

Key Responsibilities

  • Oversee daily operations of all estate facilities, buildings, gardens and grounds.
  • Manage and maintain estate systems (HVAC, electrical, plumbing, etc.) and maintenance schedules.
  • Source, vet, contract, and supervise outside vendors and contractors for specialized services.
  • Coordinate with the family member leading a small team of on-site household staff.
  • Coordinate with the family member responsible for the thoroughbred breeding operation and cattle program to ensure smooth logistical integration across estate activities.
  • Provide operational and logistical support for occasional events hosted at the estate.
  • Create and maintain estate manuals, operational protocols, and asset tracking documentation.
  • Oversee initial review and approval of vendor and contractor payments, in coordination with the Family Office.
  • Generate regular operational reports and communicate effectively with the Family Office.

Candidate Qualifications

  • Minimum of 7 years of relevant experience managing high-end residential estates.
  • Proven ability to manage multiple vendors and contractors with oversight and accountability.
  • Strong leadership, organizational, and problem-solving skills with a hands-on approach.
  • Technologically proficient; able to implement and manage systems and workflows; proficient in Outlook, Excel and Word.
  • Exceptional interpersonal skills; must be tactful and effective in dealing with multiple stakeholders.
  • Experience with budgeting, multi-year planning, and maintenance forecasting.
