Overview:

An ultra-high-net-worth principal is seeking an experienced, highly professional Senior Executive Assistant to provide right-hand support in both business and personal affairs. This individual will work closely with the Chief of Staff and other senior personnel to ensure the seamless orchestration of complex schedules, high-level travel, sensitive projects, and a dynamic daily environment. The ideal candidate brings discretion, high emotional intelligence, and thrives in a fast-paced, detail-driven role with elevated expectations.

Key Responsibilities:

  • Manage complex, ever-changing calendars with precision

  • Coordinate all aspects of domestic and international travel, including private air, accommodations, and detailed itineraries

  • Provide logistical and operational support for meetings, events, and offsite engagements

  • Maintain and track confidential documents, contact databases, and insurance/estate files

  • Submit and reconcile expense reports and oversee various financial records

  • Handle personal tasks including mail, gifting, and event coordination

  • Serve as gatekeeper and liaison to both internal stakeholders and external VIPs

  • Support special projects and initiatives as assigned by the Chief of Staff

  • Participate in a rotating on-call weekend schedule with the Chairman’s support team

Qualifications:

  • 10+ years supporting C-level or UHNW individuals in an executive or private office setting

  • Proven ability to multitask in a high-pressure, fast-paced environment

  • Advanced proficiency in Microsoft Office, Apple/iOS products, and cloud-based platforms (e.g., SharePoint, OneDrive)

  • Highly discreet and trustworthy with impeccable judgment

  • Exceptionally organized and proactive, with a no-task-too-small mentality

  • Strong written and verbal communication skills

Preferred Skills:

  • Experience working in private family offices or multi-property environments

  • High EQ and social intelligence; polished demeanor with exceptional interpersonal tact

  • Strong project management skills and attention to detail

  • Background in complex travel logistics, both private and commercial
