Do you understand what is needed to manage a staff? Does ensuring that the residential properties of the family you work for run in an efficient way? Are you comfortable with scheduling and coordinating the needs of the family among housekeeping and maintenance staff? Then keep reading.

We are looking to add a strong #2 to our Estate team. The Associate Estate Manager will be responsible for maintaining 3 Chicago area properties and 3 properties in California. You will work with the schedule and process set by the Estate Manager to keep things running smoothly within the households, which can include running errands, organizing, scheduling, handling household billing, vendor management and other tasks. You are responsible for direct day-to-day supervision all domestic staff employed at the properties, and for managing all administrative processes related to the operations of the properties, such as scheduling repairs and maintenance as needed. The Assistant Estate Manager will follow and update the detailed household manual, keeping instructions, task lists, vendor information, etc. in an easily accessible and available format for the Property Owners and co-workers.

Specific functions of the role include:

1. Ensures that the interiors of the properties are always clean and well-maintained. Supervises assigned household staff and sets standards with them for performing their duties.

2. Manages staff of housekeepers and maintenance professionals including assigning work, training, creating harmonious work environment, performance management etc.

3. Prepares daily and weekly schedule for staff including work expectations.

4. Schedules property maintenance and repair work and oversees all property maintenance projects and associated vendors.

5. Manages the property schedules and calendars to ensure staff is available for appropriate family and guests in town at any given time.

6. Ensures that family pets are taken care of as needed including walks, veterinarian appointment, fed etc.

7. Maintains and builds upon a detailed household manual, keeping instructions, task lists, vendor information, etc. in an easily accessible and available format for the property owners.

8. Assists lifestyle team in the planning and execution of events held at the properties.

9. Responsible for guests of the family that may be utilizing properties while in town.

There is a primary home in Highland Park, IL with additional residential properties in the area, Evanston and a rental property in the Chicago Loop. We also have one home outside LA and 2 additional properties in the San Diego area. You must be able to travel between all properties independently as needed.

Qualified candidates will have experience in residential management including staff support. You must be able to communicate with a team that is currently primarily Spanish speakers. The position will require flexibility in hours throughout the week. The family is in and out of Chicago and will require additional hands on attention when in town.
