An individual based in Tucson, AZ is seeking two highly capable, discreet, and experienced Executive Personal Assistants (M/F) to provide comprehensive administrative and lifestyle support. This individual will play a pivotal role in ensuring the executive’s daily operations run seamlessly, with a strong focus on calendar management, communication, travel coordination, and project oversight.

The ideal candidate will have a proven background in high-level executive support and demonstrate the flexibility and professionalism to travel regularly with the principal—both domestically and internationally. A background in hospitality, paralegal work, or commercial real estate is a significant advantage and will be highly valued.

Responsibilities

Schedule & Calendar Management:

  • Manage an ever-changing calendar, including scheduling and confirming appointments, meetings, and events
  • Coordinate logistics for internal and external engagements, including venues, catering, and A/V setup

 

Communication Management:

  • Act as a trusted liaison, handling all forms of communication on behalf of the executive
  • Draft and review emails, reports, and presentations with high attention to detail and tone

 

Travel & Itinerary Planning:

  • Organize all travel logistics including flights, accommodation, and on-ground transport
  • Prepare detailed, anticipatory itineraries and accompany the principal on both domestic and international travel as needed

 

Administrative & Office Support:

  • Maintain meticulous digital and physical filing systems
  • Prepare and manage expense reports, budgets, and related financial documents

 

Project Coordination:

  • Support ongoing business and personal initiatives by conducting research and liaising with vendors and internal teams
  • Track timelines and ensure deliverables are met efficiently and on schedule

 

Office Oversight:

  • Monitor and manage office supplies and liaise with vendors and building management as necessary
  • Coordinate with IT and facilities to ensure optimal working conditions for the executive

 

Confidentiality & Discretion:

  • Manage all sensitive information with absolute confidentiality
  • Uphold the highest standards of professionalism and privacy at all times

Requirements

  • Bachelor’s degree preferred (Business Administration or related field)
  • Minimum of 3–5 years’ experience supporting a C-level executive or UHNW individual
  • Background in hospitality and/or paralegal work is a major plus
  • Experience in commercial real estate or paragliding industries highly desirable
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong interpersonal, written, and verbal communication skills
  • Exceptional organizational and multitasking abilities
  • Discreet, proactive, and adaptable with a polished and professional demeanor
  • Must be travel-ready and comfortable providing in-person support while on the move
