Personal Assistant to SF Bay Area Founder

We are seeking a highly organized, discreet, and proactive Personal Assistant to support our Founder in managing their personal life. This role is critical to maximizing the Founder's efficiency and requires a professional who thrives in dynamic, high-pressure environments.


Core Responsibilities

Calendar & Communication Management

  • Manage personal calendar, appointments, and commitments.
  • Handle personal correspondence and communications.
  • Coordinate with business office for calendar alignment.
  • Manage relationships with service providers and stakeholders.
  • Navigate complex, multi-time-zone scheduling.

Travel & Logistics

  • Design and manage detailed travel itineraries.
  • Book flights using airline loyalty programs and complex systems.
  • Maintain relationships with luxury travel partners.
  • Pack and prepare for frequent business/personal travel.
  • Arrange premium transportation and accommodations.
  • Integrate personal and professional travel seamlessly.
  • Prepare detailed travel briefs with contingency plans.
  • Maintain database of preferred travel partners/destinations.

Hospitality & Experiences

  • Secure reservations at exclusive restaurants and venues.
  • Build relationships with hospitality leaders and maître d’s.
  • Arrange unique cultural/entertainment experiences.
  • Maintain preferred venues/experiences database.
  • Access private clubs and member-only establishments.
  • Provide creative solutions for urgent or complex requests.

Household & Lifestyle Management

  • Oversee home maintenance coordination.
  • Manage service providers.
  • Handle personal shopping and procurement and dry cleaning.

Chef & Dining Services

  • Manage personal chef schedule and operations.
  • Oversee menu planning and dietary requirements.
  • Coordinate special occasions/dinner parties.
  • Handle chef admin and alternative dining arrangements.
  • Maintain kitchen inventory and grocery shopping.

Financial Administration

  • Process bills, vendor payments, and reconciliations.

Health & Wellness

  • Schedule medical appointments and follow-ups.
  • Coordinate fitness/wellness activities.
  • Manage health-related logistics and records.

Qualifications

  • Proven experience as a high-level personal assistant.
  • Exceptional organization, planning, and problem-solving skills.
  • Superior emotional intelligence and discretion.
  • Proficient in Mac OS, Google Suite, and mobile technology.
  • Extensive knowledge of luxury travel/hospitality.
  • Valid passport, driver’s license, reliable transportation, and insurance.
  • Available to travel before/after events.
  • Background check required.
