Position Overview

Schedule/Hours:  Full-Time. Varies to accommodate the Executive's schedule. Weekends are generally off, however messages may be sent to address based on urgency provided.

We are working with a dynamic and well-structured private household seeking a highly capable Executive/Personal Assistant to support the Principal in both personal and professional capacities. The residence spans approximately 6,500 square feet and includes a collaborative team of household staff. The family is active and engaged, with four children ranging in age from 3 to 14, creating a lively and fast-paced environment that requires precision, discretion, and adaptability.
 
The ideal candidate will be a proactive communicator with a strong service mindset, capable of anticipating needs and managing complex logistics with ease. This role demands a high level of organization, emotional intelligence, and the ability to maintain confidentiality while fostering a positive and professional atmosphere. The Principal values individuals who are energetic, detail-oriented, and able to integrate seamlessly into a team-oriented household culture.

Position Requirements

  • 8+ years of applicable experience working closely with a Principal
  • Non-Smoker
  • Valid driver’s license with a clean record
  • Capable of passing an extensive background check and BAI interview
  • Ability to identify issues and address independently
  • Strong communicator, both written and verbal (English & Spanish strongly preferred)
  • High level of discretion, loyalty, integrity, and honesty
  • Proven administrative experience in high-level support roles
  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • Technical proficiency with Microsoft Office, Teams, SharePoint, and scheduling tools
  • Experience coordinating travel logistics and managing calendars
  • Discretion and confidentiality in all interactions
  • Ability to manage household budgets and track expenses

Position Duties & Key Success Factors

Scheduling and Organization:
  • Manage and coordinate the principal's calendar, including appointments, meetings, and personal engagements.
  • Ensure effective communication regarding scheduling changes and updates.
Travel Coordination:
  • Arrange travel logistics, including flights, accommodations, and ground transportation.
  • Be available for travel a couple of days a week, primarily for overnight stays.
Support for Household Management:
  • Assist in managing household routines, including meal preparation and light housekeeping tasks.
  • Collaborate with existing staff, particularly the current assistant, to streamline operations and ensure smooth communication.
Childcare Support:
  • Help source and coordinate a part-time nanny for after-school activities and weekend support.
  • Facilitate communication between the nanny and PA to ensure schedules align and responsibilities are clear.
Administrative Support:
  • Handle various administrative tasks, such as managing correspondence and maintaining household records.
  • Assist with property management for multiple business entities, ensuring that all operational aspects are organized.
Technical Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, Teams, Outlook) for communication and scheduling.
  • Ability to adapt to new software or tools for task management and file organization.

  • The PA should enable the principal to maximize time spent with family and clients by alleviating lower-level tasks.
  • Successful management of household operations, leading to a seamless and efficient environment.
