Scooe Of Work:

Standard Operating Procedure (SOP) for Farm and Habitat Manager

Location:Seacoast of NH

Barn Care

Maintain a clean, organized, and safe barn environment through consistent daily routines.

Uphold high standards of cleanliness and hygiene to support animal health and wellbeing.

Oversee the proper maintenance of equipment, enclosures, and feeding areas.

Adhere to and enforce safety and security protocols within all barn areas.

Animal Care

Provide comprehensive care, including feeding and watering of farm animals such as alpacas, goats,pigs, horses, donkeys, birds, farm dog, and farm cats, tailored to specific environmental conditions.

A daily welfare check of all animals must be the first task completed each morning.

Carefully observe each animal for signs of illness, injury, or abnormal behavior and report any concerns immediately.

Conduct detailed grooming and health care tasks, ensuring all animals are well-cared for.

Maintain meticulous health records, including tracking veterinary visits, vaccinations, and specific dietary needs for each type of animal.

Adhere to the medical chart to track when and if medications are needed for animals.

Collaborate closely with the Equine and Farm Manager to manage all equine-related responsibilities.

 

Farm and Field Equipment Management

Ensure all machinery is clean, operational, and ready for use at all times.

Any equipment that is broken or in need of repair must be reported immediately to the Executive Estate Director.

Livestock Management and Farm Animal Management 

Participate in and support AI (Artificial Insemination) breeding programs as directed in conjunction withthe Executive Estate Director.

Monitor livestock for signs of heat and accurately record breeding dates, behavior, and outcomes.

Maintain a clean, safe, and calm environment during all AI procedures.

Collaborate with the Equine Manager , and veterinary team to ensure optimal timing, animal handling, and care.

Maintain clear and accurate breeding records to track lineage, cycle timing, and results.

When and if a birth is anticipated, the Farmer is required to be on property to monitor and assistas needed.

Immediately report any concerns, irregularities, or signs of distress to the Executive Estate Director and/or veterinary professionals.

Foster a nurturing environment for all livestock, animals focusing on their health, safety, and comfort.

Facilitate engaging and safe farm tours and animal visits for family and friends, ensuring positive interactions with a variety of farm animals.

Oversee the humane treatment of animals during routine care and special procedures.

Hunting and Fishing Excursion Management

Maintain and organize all necessary equipment for hunting and fishing, ensuring safety protocols are followed.

Plan and execute hunting and fishing excursions, prioritizing environmental stewardship and safety.

Habitat Management

Collaborate with the grounds team to support the well-being of both domestic and wildlife populations.

Oversee soil health, manure management, and appropriate fertilization and drainage strategies tosustain robust pasture lands.

Collaborate with the grounds team to ensure clean and safe pathways and common areas throughoutthe year, including effective snow removal.

Mushroom Cultivation

Work directly with the Greenhouse Manager to support all aspects of mushroom production.

Assist with inoculating mushroom logs or substrates as scheduled.

Monitor and track mushroom growth cycles, documenting progress and health indicators.

Participate in timely and careful harvesting to ensure product quality.

Maple Syrup Production

Oversee and participate in the full maple syrup process, from tapping to bottling.

Identify and tap designated sugar maples at the appropriate time each season.

Monitor sap flow and maintain collection lines or buckets daily during the season.

Ensure all equipment (taps, lines, holding tanks, evaporators) is clean, functional, and properly stored when not in use.

Operate the evaporator to boil sap, closely monitoring temperature and consistency throughout the process.

Filter and bottle syrup in sanitized containers, coordinating the bottling process in conjunctionwith the Chef to ensure proper volume, labeling, and storage.

Keep thorough production records, including yield, weather conditions, and quality notes.Emergency Management and Communication

Serve as the primary point of contact during emergencies, ensuring timely and effective resolution of any issues that arise.

The Farm Manager is expected to respond to emergency matters as needed, even on scheduled days off.

All emergency incidents—including injury, illness, or death of any animal—must be reported immediately to the Executive Estate Director and Equine Manager.

Source, vet, and oversee all vendors to ensure external services consistently meet the estate’s highstandards.

Weekly Check-Ins: send weekly check ins via email to Estate Director, Principal and Equine and Farm Manager

Additional Duties

Ensure all areas are prepared and maintained for both daily use and special events.

Assist in event setups and provide ongoing support during family gatherings.

Undertake additional responsibilities as needed to support the estate and enhance family experiences.

Dog Management

Oversee daily care and well-being of the Boulder, including feeding, watering, grooming, and exercise.

Maintain a consistent training routine in alignment with existing behavioral expectations.

Manage vet appointments, vaccinations, and preventative care.

Maintain accurate records for each dog, including feeding schedules, medical history, and

behavioral notes.

Pertaining to all Estate Staff:

This statement emphasizes the flexibility and adaptability required in this role to address various unforeseen circumstances and meet the evolving needs of the Principals, their family, and the estate. All roles may be required to assist with a range of tasks beyond their core responsibilities to ensure the smooth operation and security of the estate.

These additional duties could include:

Adhering to beginning and end of day procedures as they pertain to their prospective roles.

Assisting with household tasks: This might involve running errands, assisting with household maintenance, or helping with special projects as requested by the Principals or the Estate Director .

Providing support during events or gatherings: Any and all roles may be called upon to assist with transportation logistics, security arrangements, or other tasks to ensure the success of events hosted at the estate.Emergency response and crisis management: In the event of emergencies such as medical incidents, security breaches, or natural disasters, may be required to provide support and assistance as part of the estate's emergency response plan.

Supporting other members of the estate team: Collaboration with other members of the estate team is essential to maintain a cohesive and e?cient operation. Any and all roles may be asked to assist colleagues with their tasks or provide backup support when needed.

Adapting to special requests or circumstances: The nature of the role may require the Specialist to accommodate special requests or unexpected changes in plans from the Principals or their family members, demonstrating flexibility and responsiveness. Overall, this statement underscores the importance of teamwork and collaboration within the estate team to ensure that all aspects of the Principals' and their family's needs are met effectively and e?ciently.
