Russian Speaking Personal Assistant – Alpine, NJ / Salary to 250k
A busy family requires the support of a Personal Chief of Staff to oversee the organization and smooth running of an extremely busy entrepreneur and his family. We require someone fluent in Russian with a minimum of 5-10 years in high level private service. Client will relocate exceptional talent to NJ.
The Chief of Staff will lead a team of personal staff supporting a very high-profile family with their demanding and fast-paced lifestyle. This role is critical in ensuring that all PAs have equal tasks, meet deadlines, and work cohesively as a team to provide top-tier support. The Chief of Staff will oversee day-to-day operations, manage calendars, coordinate events, and handle general tasks for the family. Travel is also essential aspects of the role.
This role requires a team player who can maintain a high level of professionalism and organization in a fast-paced, ever-changing environment. Fluency in Russian is a plus, but not a requirement.
Key Responsibilities:
- Team Management: Lead and oversee a team of personal assistants, ensuring that tasks are distributed equally and all PAs meet their respective deadlines. Provide guidance, motivation, and support to the team to foster a cohesive and efficient working environment.
- Calendar & Scheduling: Manage and oversee the family’s busy calendar, ensuring all appointments, meetings, and engagements are scheduled and executed efficiently. Ensure that the PAs are coordinating seamlessly to handle all scheduling tasks.
- Event Coordination: Oversee the planning and execution of personal events, ensuring all aspects are aligned with the family’s preferences and high standards. Ensure that the team of PAs is effectively coordinating with vendors, venues, and other stakeholders for flawless event delivery.
- Task Management: Ensure that general tasks for the family, such as personal errands, travel arrangements, and administrative support, are completed accurately and on time. Ensure each PA manages their workload efficiently, with deadlines being met consistently.
- Communication: Act as the primary point of contact between the family and the PA team, ensuring clear and effective communication at all times. Ensure that updates and instructions are conveyed clearly to all team members and that issues are addressed promptly.
- Quality Control: Maintain high standards of organization, attention to detail, and delivery, ensuring that all tasks, whether administrative or event-related, are executed with impeccable taste and professionalism.
- Problem-Solving: Address and resolve any issues or last-minute changes swiftly, ensuring that the family’s expectations are always met in a fast-paced environment.
- Discretion & Confidentiality: Oversee the team’s approach to maintaining the highest level of confidentiality, discretion, and respect for the family’s privacy.
- Travel & Relocation Coordination: Ensure that travel arrangements for the family and the PA team are organized effectively, particularly during relocation or while on trips. Oversee travel schedules and manage logistics for family engagements.
Required Skills & Qualifications:
- Experience: Proven experience in managing a team of personal assistants, with at least 3-5 years of experience working in a high-pressure, high-profile environment, such as with VIP families or individuals.
- Leadership & Team Management: Strong leadership skills with the ability to motivate, mentor, and manage a team. Ability to distribute tasks fairly and ensure the team meets deadlines and achieves high-quality results.
- Calendar & Event Management: Extensive experience managing complex calendars and coordinating personal events in a fast-paced environment, with attention to detail and superior organizational skills.
- Communication: Exceptional verbal and written communication skills, with the ability to communicate clearly and effectively with both the family and the PA team.
- Adaptability & Flexibility: Ability to thrive in a fast-paced, dynamic environment and quickly adapt to shifting priorities and demands. Must be flexible and remain calm under pressure.
- Discretion & Confidentiality: A strong understanding of the need for discretion and the ability to handle sensitive matters with the utmost confidentiality.
- Tech-Savvy: Proficiency in Microsoft Office Suite, calendar and event management tools, and other organizational software.
- Language Skills: Fluency in Russian is preferred due to international travel and family dynamics, but not required.
