Position: House Manager & Business Personal Assistant
Location: Naperville, IL (Regular Travel Required)
Employment Type: Full-Time 40 hrs (30 hrs/week as House Manager + 10+ hrs/week Business Personal Assistant)
Compensation: Competitive, based on experience

About the Role:
We are seeking a highly organized and detail-oriented House Manager & Business Personal Assistant to oversee the daily operations of a private residence and provide support for business-related tasks, particularly in managing a vacation home undergoing a renovation.

This role requires a proactive, self-sufficient professional with experience in household management, vendor coordination, meal preparation, travel planning, and business assistance. The ideal candidate will be comfortable overseeing renovation projects, coordinating with contractors, managing household staff, and handling regulatory compliance for short-term rentals. Regular travel, including overnight stays, may be needed. This role requires the highest level of confidentiality, discretion, and professionalism.

Key Responsibilities:

Household Coordination & Organization (30+ hrs/week)

  • Oversee daily household operations, ensuring everything runs efficiently
  • Maintain household schedules and coordinate appointments, vendors, and repairs
  • Keep a detailed inventory of household supplies and restock as needed
  • Manage weekly deep cleaning services and ensure high standards are maintained
  • Handle mail and package organization, returns, and household errands

Meal Preparation & Grocery Shopping

  • Plan and prepare healthy weeknight dinners for the household
  • Shop for fresh ingredients and groceries, ensuring a well-stocked kitchen
  • Maintain a clean and organized kitchen and dining area

Laundry & Linens

  • Change and launder sheets and towels regularly
  • Manage household laundry, including washing, folding, and organizing clothing and linens

Staff & Vendor Management

  • Oversee and coordinate weekly deep cleaning services
  • Schedule and manage household vendors, including maintenance workers, landscapers, and service providers
  • Ensure all household services are running smoothly and proactively address any issues

General Household Maintenance

  • Conduct routine walkthroughs to identify areas needing maintenance or improvement
  • Handle minor troubleshooting for household systems and coordinate repairs when necessary
  • Ensure household security measures are maintained, including alarm systems and access control

Family Activity & Travel Planning

  • Assist in organizing and planning family activities, outings, and special events
  • Coordinate research and bookings for family travel, including flights, accommodations, and activities
  • Manage logistics for children's activities, appointments, and school-related needs

Business Personal Assistant Responsibilities (10+ hrs/week, with flexibility)

Vacation Home Management & Renovation Oversight

  • Oversee the extensive renovation of a vacation rental property, including contractor coordination
  • Manage permits, paperwork, and compliance with county regulations for short-term rentals
  • Oversee house cleaning staff and property maintenance at the vacation home
  • Travel as needed for on-site supervision of the renovation and rental property operations, including occasional overnight stays

General Business Support

  • Conduct miscellaneous research related to business ventures, vendors, and service providers
  • Assist with business-related tasks for other ventures as needed
  • Handle errands, scheduling, and organization related to both personal and business projects

Requirements:

  • Proven experience in household management, private estate management, or hospitality
  • Project management experience preferred, especially with home renovations or property management
  • Strong organizational and multitasking skills, with an eye for detail
  • Ability to work independently and proactively address household and business needs
  • Professional, discreet, and excellent at communication and problem-solving
  • Comfortable collaborating with vendors, contractors, and household staff
  • Tech-savvy, with the ability to manage household schedules, research requests, and vendors using digital tools
  • Experience in meal planning and cooking healthy, balanced meals
  • Experience managing household laundry and linens
  • Must be LGBTQ+ friendly
  • Must be comfortable with dogs – household has a goldendoodle
  • Ability to travel regularly and stay overnight as needed for vacation home management
  • High level of confidentiality and discretion is required

Schedule & Expectations:

  • Full-time role (40+ hours per week)
  • 30 hours per week managing the primary residence approximately
  • 10+ hours per week assisting with vacation rental property and business tasks
  • Sunday through Thursday schedule, approximately Monday-Thursday 9:00 AM - 6:00 PM , Sunday 2PM-6PM
  • Additional flexible hours for business-related tasks, vacation home oversight, and travel
  • Must be able to travel, including occasional overnight stays, as needed for vacation home renovations
  • Flexibility for occasional evening or weekend events as required
