Position: House Manager 
Location: Malibu, California 
Residence Size: Approximately 9,000 sq. ft. (Secondary Residence) 
Employment Type: Full-Time, Live-Out

About the Role: 

An ultra-high-net-worth family seeks an experienced, polished, and proactive House Manager to oversee the operations of their 9,000-square-foot secondary residence located in Malibu, CA. The ideal candidate will ensure the home is impeccably maintained, always guest-ready, and runs smoothly in coordination with the family's needs and lifestyle preferences. This position requires someone with exceptional attention to detail, strong vendor management skills, the ability to anticipate needs, and a discreet, service-oriented approach. 

Key Responsibilities: 

  • Ensure the residence is always maintained to the highest standards, whether occupied or vacant. 
  • Manage all vendor relationships, including full-time Housekeeper, landscaping, pool maintenance, security, and specialized contractors. 
  • Conduct daily walkthroughs to inspect and address any maintenance, housekeeping, or property issues. 
  • Create and maintain detailed household manuals, maintenance schedules, and inventory lists. 
  • Oversee scheduling and coordination of home maintenance, repairs, and improvement projects. 
  • Liaise with the family office and the estate team regarding scheduling, special projects, and property use. 
  • Prepare the residence for family arrivals, guests, and events, ensuring all details are executed flawlessly. 
  • Provide regular reports and updates on ongoing maintenance and projects. 
  • Oversee stocking of household supplies, groceries, and special requests. 
  • Hire, train, and supervise any additional household staff or temporary help as needed. 
  • Provide hands-on support for special events, including vendor coordination, setup, guest service, and post-event breakdown. 
  • Maintain the highest level of discretion, confidentiality, and professional boundaries. 

Candidate Profile: 

  • Minimum of 5 years' experience in a House Manager or high-level private service role, preferably in large private residences. 
  • Strong knowledge of luxury home systems (smart home technology, security systems, HVAC, pools, etc.). 
  • Highly organized with excellent administrative and project management skills. 
  • Tech-savvy; comfortable with Microsoft Office Suite, Google Suite, and property management apps. 
  • Exceptional communication and interpersonal skills. 
  • Ability to anticipate needs, take initiative, and solve problems independently. 
  • Comfortable with a hands-on approach; no task is too big or too small. 
  • Flexibility to adjust schedule according to the family's needs, including weekends or holidays as required. 
  • Must have a valid driver's license, reliable transportation, and a clean background check. 

Schedule: Full-time, primarily Monday-Friday, with flexibility for weekends and evenings depending on the Principal’s schedule and special events. 

Environment: The residence is maintained in a formal yet relaxed and welcoming style.
