We are looking for a Personal Assistant to support an Executive in his personal life. To do this role properly you should have a detailed understanding of scheduling/digital tools, be extremely fast at solving problems, and have experience as an assistant in the past. The successful candidate will be highly organized, extremely detail oriented, self-motivated, able to handle confidential information, as well as have a demonstrated ability to respond effectively to changing workloads and priorities.? 


This role is crucial to the smooth operating the Managing Director’s life. Tasks will vary from week-to-week and include the following for work and personal with no request too small or unimportant: 

Scheduling: Primary responsibility for managing and updating the Managing Director’s personal schedule:?Make days and weeks flow smoothly by spacing appointments, breaks, prep time, travel time. This includes keeping track of the Managing Director’s external board, travel, and personal commitments and getting the appointments on the calendar, noting time zone differences.? 

Travel: Book travel arrangements for the Managing Director, use loyalty programs and credit card points to save costs. Change travel arrangements when weather, clients, and schedule necessitate, working to get refunds and travel credit when necessary; track all reimbursements. Travel with the Managing Director during the summer and winter to a variety of destinations, including Western Europe and throughout the United States. 

Cooking: Discuss meal preferences and expectations with Managing Director, and research the proper ingredients and materials ahead of schedule. Order ingredients and other materials needed for meal preparation. Cook nutritious and delicious meals for the Managing Director. Meal Prep for Managing Director when preparing for holidays or days off. 

Personal:Assist with personal tasks at home and in the Managing Director’s at-home office. Personal errands, support, and afterhours help as required (e.g. organizing and filing at-home office, coordinating repairs, checking on supplies, running errands).? 


  • Highly?detail-oriented 
  • Culinary experience and knowledge of a variety of dietary lifestyles and restrictions is a plus. 
  • Reliable, productive, and hardworking; remains calm under pressure? 
  • Sound judgment and flexibility in balancing competing priorities; Ability to prioritize projects and handle multiple assignments at any given time while maintaining commitment to deadlines? 
  • Proven track record of integrity and discretion in handling confidential information? 
  • Know Zoom, MS Office, Mac systems, presentation skills, general technology concepts (e.g. printer)? 
  • Bilingual or fluent in Spanish and English greatly preferred. 
  • High School Diploma/Educational equivalent required. 
  • Valid passport and travel credentials required – must be able to travel to Europe, Latin America and South America without restriction. 


Time agreed with Manager:?Work the manager to be flexible on Manager’s Timezone, with additional support provided as needed on nights/weekends; must be flexible. Generous Holiday and PTO schedule.
