Job Title: Executive Personal Assistant to High-Profile Entrepreneur

Overview:

A high-performing entrepreneur with a dynamic portfolio of business ventures is seeking a top-tier Executive Personal Assistant to serve as a strategic, trusted right hand. This position requires someone who thrives in a fast-paced, high-stakes environment—gracefully navigating between executive-level support, personal lifestyle coordination, and home logistics oversight with unwavering discretion and precision. This is a role for a proactive, intuitive professional who excels under pressure, adapts seamlessly to change, and anticipates needs before they arise.

Core Responsibilities:

Executive Support

  • Manage a dynamic, high-volume calendar with precision and meticulous attention to detail
  • Coordinate and book complex domestic and international travel; prepare comprehensive itineraries
  • Serve as a trusted gatekeeper and liaison for internal teams and external stakeholders
  • Proactively anticipate the principal’s needs, consistently staying several steps ahead
  • Handle highly sensitive and confidential information with the utmost discretion and integrity
  • Oversee both personal and professional logistics, ensuring seamless day-to-day operations
  • Draft high-quality correspondence, field calls, and manage all facets of communication
  • Support the planning and flawless execution of meetings, events, and special projects
  • Travel with the principal as needed, delivering proactive, on-the-ground assistance

Home Management Oversight

  • Act as the primary liaison between the principal and household staff, ensuring seamless home operations across multiple luxury residences.
  • Coordinate with house managers, chefs, housekeepers, and security personnel as needed to maintain the principal’s lifestyle preferences.
  • Maintain home inventory lists and procurement of household or personal items.
  • Schedule and track services and vendors (e.g., housekeeping, landscaping, AV tech, deliveries) in support of the household team.
  • Oversee household budgets and expenses; review invoices and ensure timely payments.
  • Assist with the planning of intimate gatherings, family events, and celebrations.

Luxury Vehicle Collection Coordination

  • Oversee scheduling, maintenance, and documentation for a collection of high-end and exotic vehicles.
  • Coordinate with in-house and external specialists for servicing, detailing, and inspections.
  • Maintain meticulous records of vehicle registration, insurance, mileage logs, and storage status.
  • Assist in preparing vehicles for events, exhibitions, or personal use, ensuring they are pristine and presentation-ready.
  • Interface with brokers, appraisers, and curators when needed for acquisitions, valuations, or sales.

Lifestyle & Travel Support

  • Travel with the principal when needed to provide real-time support and logistical execution.
  • Manage packing and unpacking, wardrobe coordination, and travel documentation.
  • Book personal appointments and make high-level reservations
  • Ensure the principal’s preferences are reflected and maintained across all locations.

Qualifications:

  • Minimum of 5-7 years’ experience providing high-level support to C-suite executives or high-profile individuals
  • Exceptional organizational skills with a proven ability to multitask and prioritize in fast-paced environments
  • Expertise in complex calendar management, including scheduling across multiple time zones
  • High EQ with the ability to anticipate needs, build trust, and navigate complex interpersonal dynamics
  • Excellent written and verbal communication skills, with keen attention to detail
  • Highly proficient in modern office technologies and platforms (G Suite, Microsoft Office, Zoom, etc.)
  • Resilient, composed, and solutions-focused under pressure
  • Impeccable professionalism, sound judgment, and a strong commitment to confidentiality and service

Additional Requirements:

  • Willingness and ability to travel frequently, including internationally and between Los Angeles and Miami.
  • Flexibility to work evenings, weekends, and accommodate last-minute changes.
  • College degree preferred 
  • Valid passport and driver’s license required.

Schedule: Hybrid – typically 3 days on-site in Los Angeles, 10:00 AM–6:00 PM; remote and on-site days may fluctuate based on the principal’s needs

Compensation: DOE, Benefits, PTO, 401k, Discretionary Bonus
