Description

We are seeking an experienced full-time Estate Manager for a high-end private family estate located in suburban Montgomery County, Pennsylvania. The estate consists of multiple residences and other buildings of various sizes.  Limited services may also be needed for support at additional residences located in the Greater Philadelphia Area, New Jersey, Maine, and Florida.

The ideal candidate will possess honesty, integrity, and loyalty.  High standards and attention to detail, as well as flexibility, are required. The position entails excellent people skills, a straightforward communication style, and the ability to reflect the family's values in every interaction.  Confidentiality and discretion are of the upmost importance.


This role requires a proactive, hands-on approach, in which the Estate Manager will work independently, but interact with other employees, family members, and guests on a regular basis. The candidate must have experience working with diverse service teams, including chefs, housekeeping staff, and vendors.


Primary Responsibilities: The Estate Manager will be responsible for the management, maintenance, upkeep, and repair of the estate. Typical tasks will include but are not limited to the following:

Property Management:

    • Manage all maintenance, repairs, and renovations to the estate. 
    • Develop an overall maintenance plan and schedule for the estate.
    • Ensure the efficient operation of all property systems and equipment. 
    • Manage utilities, including water, electricity, and gas. 
    • Oversee agricultural activities on the estate.
    • Oversee grounds, gardens, and landscaping. 
    • Supervise contractors performing services on the estate.
  • Financial Management:
    • Prepare and manage a budget for maintenance and repairs. 
    • Track expenses and ensure they are within budget. 
    • Assist with property insurance claims, if any. 
  • Event Planning and Coordination:
    • Set up for events and gatherings on the estate. 
    • Liaise with event planners, caterers, and other vendors. 
    • Communicate with the Family about plans, requirements, and upcoming events. 
  • Other Responsibilities:
    • Oversee outside vendors, contractors, and construction projects. 
    • Maintain collections, automobiles, and golf carts located on the estate. 
    • Purchase office and household supplies, run errands.
    • Act as the owner's representative on renovations and other construction projects. 

Qualifications:

    • Minimum 8 years Estate Manger experience, preferably for larger high-end homes. 
    • Ability to anticipate client needs and take preemptive actions.
    • Effective at managing teams.
    • Prior construction project management experience preferred.
    • Strong decision-making/critical thinking skills.
    • Comfortable being hands-on in various tasks, from strategy to execution.
    • Attentive to details.
    • Organized with strong verbal communication skills.
    • Valid driver’s license.
    • Authorized to work in the United States.
    • Successful completion of thorough background investigation and reference check.

Schedule:

This is an exempt, full-time position. Candidate must be flexible and willing to work weekends and potentially on Holidays. Schedule is generally (5) days a week (Monday-Friday); however, the candidate should be expected to be on call in the evenings and on weekends, as needed.

 

 


Physical Requirements:


The Estate Manager may be required to perform any or all of the following essential functions at any time throughout the workday:

  • Climb stairs, ramps, ladders, scaffolding and work stands.
  • Maintain balance when climbing, walking, standing, leaning, reaching or crouching.
  • Work with specialized hand and power tools.
  • Properly operate motorized vehicles, such as automobiles, golf carts, etc.
  • Use hands to finger, handle, or feel various objects.
  • Reach and stretch with hands and arms in any direction.
  • May be exposed to electrical shock hazards or work near moving mechanical parts or vehicles.
  • Seize, hold, grasp, turn, or otherwise manipulate objects of various sizes with one or both hands.
  • Lift and/or move with care objects weighing up to 50 pounds that are in various shapes.
  • Raise and/or lower an object from one level to another (includes upward pulling) up to 25 pounds.
  • Pick, pinch, or otherwise work primarily with fingers rather than with the whole hand or arm.
  • Walk significant distances while carrying various objects over potentially uneven surfaces.
  • Stoop, kneel, or crouch repeatedly and rise to standing from such positions.
  • Specific vision abilities required by this job include close vision and distance vision.
  • Stand for long periods of time.
  • Must be able to communicate by voice and detect sound by ear.
  • Must be able to judge three-dimensional depth.
