Job Title: Facilities Manager

Northeast Ohio

Full-time / Expected to be on property 8a – 6p

Job Summary:

Experienced and versatile Facilities Manager needed to oversee the day-to-day operations, maintenance, and staff management on multiple structures and extensive acreage in Ohio. Reporting to the Chief of Operations, this role will be very hands-on and will require management of staff, vendor schedules, and special projects. The role will require flexibility in working hours, including evenings, weekends, and holidays as needed.

 

Responsibilities:

  • Able to thoughtfully schedule vendors and staff around the movements of the principals across the residences.
  • Manage current staff schedules, vendor management and oversight, and vehicle maintenance.
  • Knowledge of ponds, filtration systems, irrigation zones, boiler systems, pool equipment.
  • Knowledge of ice melt systems, winterization of grounds and familiarity with salt solutions and their effects on outdoor specimen plantings and hardscapes.
  • Familiarization with HVAC systems and keeping detailed logs of filter changes and maintenance logs.
  • Adept at seasonal schedules and preparation, i.e., winterization of outdoor systems, chimney cleanings, gutter cleanings etc.
  • Knowledge of Control 4 Systems, lighting and AV.
  • Experience with water systems and well water integration, knowledge of water testing and can read and interpret reports.
  • Knowledge of septic systems, cleaning schedules, leach fields and tree root intrusion management.
  • Extensive grounds management with ornamental gardens and hedge species.
  • Experience working with Arborists, tree care, and ability to understand stress on specimens due to impacted soil.
  • Knowledge of land management a plus.
  • Ensure property is always in a state of readiness.
  • Conduct daily property inspections to identify and address maintenance needs.
  • Ability to troubleshoot and repair toilets, sinks, small appliances, mechanical systems before reaching out to external vendors.
  • Coordinate and supervise repairs, renovations, and other property improvements.
  • Maintain accurate electronic records and documentation related to property management.
  • Prepare weekly reports for the Chief of Operations.

 

Qualifications and Personal Requirements:

  • A minimum of 5 years of experience in a similar role.
  • Ability to identify the developmental needs of others and coach, mentor, or otherwise help employees improve their knowledge and skills.
  • A self-driven individual who can work independently, taking ownership of the workload and reacting with appropriate urgency to frequently changing priorities.
  • Ability to thrive in a fast-paced environment while being able to prioritize multiple tasks.
  • Tactful with colleagues, with a high level of integrity and sound judgment.
  • Fluent in Mac and Apple operating systems.
  • Fluent in household smart systems (Lutron, Savant, Control4).
  • Ability to pass extensive background check.
  • Ability to work legally in the U.S.
