The Role

The Executive and Personal Assistant (EPA) will provide comprehensive administrative and personal support to the principal and his family, ensuring the seamless management of their professional and personal lives. Responsibilities include, but are not limited to, managing calendars, emails, and correspondence; handling bookkeeping and bill payments; organizing travel and property maintenance; running errands; and assisting with family needs.

The EPA must be proactive, highly organized, and capable of working autonomously while maintaining flexibility and a positive attitude. Occasional travel to vacation properties may be required. The principal values a collaborative and can-do approach, and tasks outside the standard job description may arise.

 

Job Title:                        Full-Time Executive and Personal Assistant (Hybrid; part remote and part at the main residence)

Reporting to:                  The Principal

Location:                        Austin, TX

Hours:                            Monday – Friday, 9:00pm - 5:00pm, with flexibility and responsiveness required outside these hours.

Salary:                            From $90,000 - $120,000+ DOE

Benefits:                         15 days PTO, 5 Sick Days and 5 federal holidays, open to offering a medical stipend for the right candidate

Start Date:                     ASAP (ideally)

The Family:                   The principal, his wife, and three children (ages 14, 12, and 3 years old)

The Residence:              Main property located in Austin, TX.

Vacation homes within Texas, including Austin, as well as properties in Lake Tahoe (CA), and other locations.

 

Key Responsibilities*

General:

  • Efficient weekly calendar planning, ensuring the principal is informed of all appointments and prepared for engagements.
  • Coordinating family schedules and managing last-minute changes.
  • Assisting with projects, research, and event planning.
  • Managing receipts, petty cash, and household budgets.
  • Running personal errands and providing reminders for key dates (birthdays, anniversaries, medical appointments, etc.).
  • Booking and organizing entertainment (theatre, concerts, restaurants, etc.).
  • Coordinating travel arrangements, including transportation, accommodation, and activities, with detailed itineraries.

 

Home/Business Office:

  • Ensuring timely payment of approved bills.
  • Ensuring business/household QuickBooks is accurate and up to date
  • Managing business/household expenses and keeping meticulous records.

 

Property & Vehicle Management:

  • Overseeing contractors, suppliers, and appointments at the property.
  • Building and maintaining robust supplier relationships and an emergency contact database.
  • Supervising renovation projects and general property maintenance; reporting necessary repairs or purchases to the principal.
  • Acting as the primary point of contact for emergencies or urgent issues.
  • Managing vehicle maintenance, repairs, registrations, and insurance.

 

Requirements:

  • Strong command of the English language; excellent written and verbal communication skills.
  • High proficiency with technology and digital tools, including experience with QuickBooks or similar bookkeeping software.
  • Experience with bookkeeping and bill pay.
  • Legal authorization to work in the U.S.
  • Residence in the Austin, TX area.
  • Clean, drivers’ license (flexible to drive in the USA)
  • Minimum of 5 years of experience in a similar role, including administrative and bookkeeping responsibilities.
  • Exceptional organizational skills, attention to detail, and a proactive attitude.
  • Excellent references from previous and current employers.
  • Willingness to undergo a background check (criminal and driving records).
  • Willingness to sign a confidentiality and non-disclosure agreement.
