Personal Family Assistant

Location: Dripping Springs, TX
Schedule: Full-time, 5 days/week (including one weekend day), ~50 hours/week with flexibility for emergencies, travel, and changing family needs

Position Overview

We are seeking a proactive, highly organized, and tech-savvy Personal Family Assistant to support a busy family in Dripping Springs, TX. The ideal candidate excels at managing household operations, coordinating complex schedules, and ensuring seamless communication. This role requires adaptability, discretion, and a positive, can-do attitude. You’ll work closely with the family to keep their home running smoothly, support children and pets, and may travel with them as needed.

Key Responsibilities

Administrative, Shopping & Errands (40%)

  • Organize and process incoming mail, flagging urgent items

  • Maintain digital and physical filing systems

  • Oversee bill payments and accounts payable (Google Docs)

  • Order and track household supplies, groceries, and inventory

  • Create and update household checklists and manuals (Notion)

  • Assist with meal planning and ingredient coordination

  • Manage deliveries, shipping, and returns

  • Review and process vendor invoices and estimates; provide recommendations

  • Maintain petty cash records and submit reimbursements

  • Execute special household projects and home improvement tasks

  • Purchase thoughtful gifts for special occasions

Family Calendar, Child & Pet Support (40%)

  • Manage multiple family calendars; schedule and coordinate all appointments, events, and travel

  • Serve as the main point of contact for all family scheduling and event communications

  • Coordinate with schools, medical providers, and service professionals

  • Provide as-needed childcare (pickups, supervision, driving to activities)

  • Ensure children’s safety and well-being during care periods

  • Assist with pet care, including feeding, walking, and medical routines

  • Maintain up-to-date CPR and safety certifications

  • Keep organized records of medical, school, and pet information, following HIPAA regulations

Event Planning & Travel Assistance (20%)

  • Plan and organize family events, dinners, and gatherings

  • Coordinate event logistics, staff, and vendors; create event orders and run team meetings

  • Provide on-site support during events and guest stays

  • Support travel planning, packing, and logistics (up to 6 weeks/year of travel with family)

  • Oversee household and pet care during family travel as needed

  • Ensure guests feel welcome and cared for throughout their visit

Skills & Qualifications

  • 3+ years’ experience as a Personal/Family/Executive Assistant in a private household

  • Proficient with Apple products, Google Workspace, Notion, Trello, Slack, and troubleshooting devices

  • Strong organizational and multitasking abilities; able to manage multiple projects simultaneously

  • Excellent written and verbal communication skills

  • Discreet, trustworthy, and professional with confidential information

  • Flexible and resilient; adapts quickly to changing schedules and priorities

  • Valid driver’s license and clean driving record; proof of insurance required

  • Ability to lift up to 50 lbs and perform physical household tasks

  • Willingness to travel with the family as needed (up to 6 weeks/year)

  • Must pass a criminal background and credit check

Preferred:

  • Experience in multi-staffed households with children and pets

  • Strong quantitative and budgeting skills

  • “No task too big or small” mindset and proven project ownership

  • Demonstrated ability to anticipate needs and take initiative

Working Conditions
