A lovely family in Hillsborough, CA with a history of long-term staff is seeking a fun, energetic, and versatile Personal Assistant | House Manager to primarily work with the Mrs. This is a live-in position offering a beautiful one-bedroom apartment, complete with all utilities, a private entrance, and driveway.
The ideal candidate is tech-savvy, creative, and proactive with a positive and grounded energy. You’re confident in troubleshooting tech issues, mastering tools like Canva, and assisting with all things digital. You have a sharp eye for detail and are highly organized, always anticipating the needs of the family and staying two steps ahead—whether for upcoming events or holiday travel. You thrive on autonomy, are decisive, and excel at problem-solving without needing constant direction.
- Monday-Friday; 9am-5pm
- Local candidates will be given first priority but the client is open to out of area candidates who are willing to live-in
- There is a strong preference for live-in for this role
Job Duties Include:
- Managing all aspects of the main residence’s maintenance, including vendor relationships
- Overseeing property managers for vacation homes and assisting with family visits
- Maintaining and updating estate manuals for each property
- Managing the family’s calendar and coordinating with the Mr.’s Executive Assistant
- Arranging family travel and collaborating with the Mr.’s EA when trips overlap with corporate needs
- Assisting the Mrs. with event planning and entertaining (e.g., invitations, guest lists, RSVPs, and vendor coordination)
- Handling email and digital file management (downloading, scanning, organizing)
- Working with family accountants on house-related expenses and billing
- Maintaining and troubleshooting household technology, including iMacs, iPads, iPhones, Wi-Fi systems, printers, security cameras, alarm systems, and Sonos speakers
- Booking appointments, making reservations, and managing subscriptions
- Running errands, such as grocery shopping, dry cleaning, and mail drops
- Light food prep and assistance with meal planning
- Knowledgeable and savvy with travel programs – using points, assisting with upgrading, understanding frequent flier programs, booking top-tier airport lounges, etc.
Requirements:
- Bachelor’s degree
- 5+ years working as a Personal Assistant with some house management duties
- Previous private service experience
- Strong technology and troubleshooting skills, including proficiency in Apple products, Google/Microsoft Suite, Canva/Photoshop, and digital file management
- Interest in food, gardening, and entertaining
- Experience with bills and invoicing
- Confidence in managing a landscaping team
- Fully vaccinated and a non-smoker
- Spanish comprehension is a plus
- A strong familiarity to the Bay Area
Compensation:
- Up to $125,000+ per year | depending on experience + live-in accommodations
