Seeking a dedicated and experienced House Manager to oversee the daily operations of a high-end NYC townhouse for a private family. This hands-on, dynamic role requires exceptional organizational skills, discretion, and attention to detail. The House Manager will be responsible for ensuring the home is maintained to the highest standard, managing household staff, coordinating repairs and services, handling administrative duties, and assisting with housekeeping and family errands. The ideal candidate will have prior experience managing private estates or luxury properties and a strong understanding of residential needs in a family home.

Key Responsibilities:

Property Maintenance & Operations:

  • Oversee daily maintenance and operations of the townhouse, ensuring all systems (HVAC, plumbing, electrical, etc.) are in optimal condition.
  • Manage regular inspections and maintenance schedules, coordinating repairs, cleaning, and upkeep.
  • Handle emergency maintenance issues, including coordinating contractors and overseeing repairs as needed.
  • Supervise exterior maintenance, including landscaping, snow removal, and seasonal care for outdoor areas.

Household Staff Management and Assistance:

  • Schedule and manage staff hours, ensuring appropriate coverage and support for the family’s needs.
  • Assist the housekeeping team with cleaning and maintenance tasks as needed12.
  • Help with family errands, including pickups and drop-offs6.
  • Assist with meal preparation and serving when required46.

Family Liaison:

  • Act as the point of contact between the family and external vendors, contractors, or service providers.
  • Ensure family preferences are respected and anticipate household needs based on their schedule or special events.
  • Handle special requests, such as organizing events, accommodating guests, or coordinating family travel needs.

Vendor & Contractor Coordination:

  • Establish relationships with trusted contractors and service providers for ongoing home maintenance and special projects.
  • Source and vet vendors for repairs, renovations, or upgrades.
  • Ensure contracts and service agreements are kept up-to-date, and monitor the quality of services rendered.

Financial Oversight & Budgeting:

  • Manage and track the home’s budget, including expenses related to maintenance, staff, utilities, and improvements.
  • Approve and process invoices for household services and repairs.
  • Work with the family office to ensure all expenditures are well-documented and within budget.

Administrative Duties:

  • Maintain organized records for property-related documents (service contracts, warranties, maintenance schedules, etc.).
  • Ensure compliance with city codes and regulations, ensuring all work completed on the property is lawful and up to standard.
  • Schedule and coordinate household events, deliveries, and appointments.
 
Schedule: Monday – Friday, 8:00AM – 4 PM (flexibility required for overtime). 40 hours of work guaranteed each week. Full benefits package, including health insurance, paid vacation, sick days

Qualifications:

  • Minimum of 3-5 years of experience in property management, household management, or managing luxury estates.
  • Strong understanding of home maintenance, repairs, and building systems.
  • Proven experience managing household staff and coordinating with multiple vendors.
  • Exceptional organizational skills and the ability to prioritize tasks.
  • High degree of professionalism, confidentiality, and discretion.
  • Excellent communication and interpersonal skills, particularly in a private, family-oriented environment.
  • Proficiency in Microsoft Office and property management software (preferred).
  • Experience with high-end properties and understanding of the expectations of affluent homeowners.

Additional Skills:

  • Knowledge of household technology systems (e.g., home security, smart home devices) a plus.
  • Ability to anticipate needs and address issues before they arise.
  • Comfortable with flexible hours, as needed, to meet the family’s schedule and needs.
  • Strong attention to detail and ability to maintain high standards in all aspects of property care.
  • Ability to handle high-pressure situations, emergencies, and last-minute changes gracefully.
  • Willingness to assist with hands-on tasks, including housekeeping, errands, and meal service
