What You'll Do
As a Personal Assistant, you’ll be the communication hub, managing all incoming and outgoing messages. You’ll coordinate travel plans and occasionally accompany the couple on their trips, ensuring everything runs smoothly. Your creativity will come into play as you plan and execute events, while your organizational skills will keep the household in order. From running errands like picking up dinner and handling dry cleaning to booking personal appointments and crafting itineraries, you’ll be the go-to person for household needs. Managing personal calendars, overseeing house management tasks, and collaborating with other household staff and flight crew will be part of your daily routine. You’ll maintain and organize household inventories, handle vendor relationships, assist with meal planning alongside the chef, and organize family’s schedules. As a liaison between the Property Manager and the internal business team, you’ll implement new processes and tackle special projects. This role offers a variety of responsibilities that will keep you engaged and make a significant impact on the family’s day-to-day life.
What You'll Bring
The ideal candidate will be proactive, anticipating needs and initiating projects accordingly. Strong teamwork skills are essential, as is the ability to thrive in a collaborative and supportive environment. Excellent verbal and written communication skills and resourcefulness and assertiveness in gathering information are required. A proven track record of maintaining confidentiality with impeccable integrity and discretion is a must. Candidates should be willing to become a Notary Public if not already certified and have the flexibility to work irregular hours when necessary.
While this position will start out in the Chicago area, there is anticipated move to the Orlando, FL area in 2025. The ideal candidate will be able to accommodate these two locations and relocate permanently to Orlando in 2025. Interested candidates in the Orlando area may have the possibility of working remotely while the couple is still located in Chicago.
Education and Experience
- Bachelor’s degree preferred.
- Relevant experience, whether through work or education, is preferred.
- Previous event planning experience preferred.
- A high degree of proficiency in using Word, Excel, Outlook, PowerPoint, technology, and the Internet.
