Co-Founder & COO of renowned female lead company is seeking a highly experienced and organized Personal Assistant to provide detail oriented support in managing all personal endeavors out of her primary residence on the Upper East Side. This is a full-time, five-day workweek from Monday to Friday,  roughly 8:00am to 5:00 pm with overriding flexibility for longer hours upon special request. This role requires impeccable organizational skills, the ability to manage a variety of tasks efficiently with a proactive and positive approach. The most successful candidate will have experience supporting a busy executive with a family with children and a secondary residence in the Hamptons.

 

Responsibilities include but are not limited to:

  • Maintaining complex and detailed personal calendar; scheduling all personal appointments with reminders and follow ups
  • Coordinating domestic and international travel arrangements with detailed itineraries in collaboration with Executive Assistant
  • Managing household staff including interviewing, onboarding, scheduling, and payroll management
  • Responsible for general  household operations; scheduling maintenance and repairs with vendors and contractors
  • Overseeing additional properties in two locations; ensuring properties are up and running prior to family arrival
  • Coordinating small- and large-scale private events from intimate family gatherings to formal business dinners
  • Tracking and reconciling all household expense reports
  • Creating and/or researching systems to optimize smooth running of the household and overall family
  • Assisting in running personal family errands including: picking up prescriptions, assisting with gifting etc..
  • Collaborating with Execuitve Assistant and Family Assistant to ensure smooth running of Co-Founders life and family
  • Additional Personal Assistant duties as needed

 

Requirements

  • Strong command of English language; superior communication skills, both written and verbal
  • Excellent references required from both current and previous employers
  • Bachelor’s degree from an accredited University or College preferred
  • Minimum 4+ years of experience in a similar Personal Assistant role with a UHNW family; must have longevity
  • Excellent interpersonal with the ability to exercise quick and accurate judgment, multitasking abilities
  • Strong organizational skills with excellent attention to detail
  • Effective and proactive problem-solver; able to analyze situations thoroughly in order to anticipate problems before they arise
  • Positive, personable, and professional in mindset and manner; remaining calm and composed under pressure
  • Team-player; ability to work independently and as part of a team
  • Highly adaptable and flexible to ensure continuous efficiency; hospitality mindset and white-glove approach
  • Tech-savvy; ability to operate both MAC & PC systems as well as the following: Google Suite, Notion, Crestron, Lutron, and Savant
  • Driver's License required 
  • Legally able to work in the US
