Who You Are:

As the IT Manager, you will be responsible for managing the family office’s technology systems and infrastructure, ensuring seamless operations and data security. You’ll collaborate cross functionally with all departments across the organization to address their technology needs, implement new solutions, and maintain existing systems. 

Your role will be critical in ensuring that our technology supports our strategic objectives and enhances overall efficiency.

What You'll Do:

Strategic Leadership & IT Governance

  • Define and execute the family office’s long-term technology strategy aligned with business goals, ensuring the integration of IT infrastructure. 
  • Collaborate with senior leadership to understand business priorities and translate them into actionable technology initiatives.
  • Ensure technology solutions align with best practices in security, privacy, and compliance.
  • Manage the helpdesk team to ensure efficient support services, timely resolution of issues, and high levels of customer satisfaction.
  • Facilitate regular team/1:1 meetings to discuss project updates, address challenges, foster collaboration, and provide direction, mentorship, training, and coaching to enhance their skills, performance and professional development opportunities.
  • Manage Workload Across the IT Department: Assess and prioritize workloads to ensure balanced distribution of tasks across the IT department, optimizing resources and maintaining project timelines.
  • Develop and Implement Policies: Establish and enforce helpdesk policies and procedures to improve efficiency and service quality.
  • Performance Evaluation: Monitor and evaluate the performance of helpdesk employees, providing feedback and conducting performance reviews to support professional growth.
  • Monitor completion per the governance process.

IT Infrastructure & Operations

  • Oversee the design, implementation, and maintenance of the family office’s IT infrastructure, including networks, servers, cloud solutions, and workstations.
  • Ensure the availability, reliability, and performance of all IT systems, addressing any technical issues promptly.
  • Troubleshoot and repair hardware and software problems, including system outages and failures.
  • Maintain accurate documentation for IT systems, processes, and procedures
  • Prepare regular reports on IT performance, issues, and project status for the senior management team.
  • Manage software licensing, updates, and upgrades to ensure all systems are up-to-date and compliant.
  • Manage the technology budget, ensuring cost-effective solutions while maintaining high-quality service.

Cybersecurity & Data Privacy

  • Develop and maintain cybersecurity strategies to protect sensitive family office data and ensure compliance with regulatory requirements.
  • Lead the implementation of data privacy policies and procedures, ensuring that personal and financial information is safeguarded.
  • Respond to security incidents and lead regular efforts to resolve vulnerabilities and prevent future threats.

Vendor Management & Third-Party Relationships

  • Manage relationships with external technology vendors, including those providing software, hardware, and cloud services.
  • Oversee the selection, negotiation, and management of third-party software and service contracts.
  • Ensure vendor solutions integrate seamlessly with internal systems and meet the family office’s unique needs.

Innovation & Continuous Improvement

  • Stay ahead of emerging technologies and trends in IT and wealth management, identifying opportunities for innovation and improvement.
  • Foster a culture of continuous improvement by researching and implementing cutting-edge technologies that can provide competitive advantages to support future growth and changes.
  • Develop and deliver training programs to enhance staff proficiency with technology tools.
  • Collaborate closely with other departments to understand their technology needs, ensure the IT team is aligned with organizational objectives and facilitate cross-functional projects.
  • Develop project plans, timelines, and budgets, ensuring successful and timely completion.
  • Follow and implement file, knowledge, database and project management processes to track and document tasks and projects.

What You’ll Bring:

  • Bachelor’s degree in Information Technology, Computer Science, or a related field preferred.
  • Proven experience of 7+ years in technology leadership or a similar role, preferably within a family office or high-net-worth environment, with at least 3+ years leading a team.
  • Excellent understanding of computer systems, security, network and systems administration, databases and data storage systems, and telecommunications systems.
  • Strong knowledge of project management principles.
  • Prior experience leading and implementing ERP systems, determining security enhanced roadmap and project management across a variety of technical platforms.
  • Strong knowledge of IT infrastructure, including servers, networks, and security systems.
  • Proficiency in troubleshooting and resolving hardware and software issues.
  • Experience with data security practices and compliance requirements.
  • Certifications such as CompTIA A+, Network+, or CISSP.
  • Experience with cloud computing and virtualization technologies.
  • Excellent leadership, analytical and decision-making skills
  • Tech-savvy attitude with a thirst for learning new things; Proficiency in G-Suite, project management software, Slack.
  • Experience managing multiple complex workflows at once.
  • Excellent verbal and written communication skills, with an open and ego-less communication style.
  • A compassionate, positive, patient, solutions-oriented attitude and service oriented mindset.

  • A discreet and stellar level of professionalism and confidentiality while handling and responding to principals’ and leads needs and requests in a timely manner.
  • The ability to be a team player who's also able to work independently.
  • Availability to work evenings, weekends, and holidays as required.

Physical Requirements/Work Environment:

  • Prolonged periods of sitting or standing and working on a computer for 8+ hours/day.
  • Ability to occasionally lift equipment weighing up to 50 pounds.
