Overview

A Peninsula-based family seeks an exceptional Residential Operations Manager (ROM) to elevate their household operations. This role demands a visionary professional who can anticipate needs, streamline processes, and manage long-term projects with finesse. The ideal candidate will be a proactive leader, capable of overseeing service providers and focusing on strategic initiatives. This is a flexible hybrid remote position, with the expectation of onsite presence at the discretion of the Principals, when vendors are scheduled or for other key property-related activities as needed.

The ROM will oversee all aspects of household management, including coordinating maintenance and service contractors, managing and supervising all on-site work and ensuring all aspects of the home are always operational. They will manage complex projects with attention to detail. The role also involves cultivating relationships with top-tier vendors, coordinating their schedules, and serving as the primary point of contact between the family and external service providers. Additionally, the ROM will oversee logistics for secondary residences, future construction projects, etc.

The ideal candidate demonstrates exceptional initiative, organizational prowess and foresight, proactively completing projects while anticipating and mitigating potential obstacles. When receiving directives from Principals, the ROM will craft and implement comprehensive strategies, providing consistent progress updates. Your role involves transforming tasks into well-structured projects, harmoniously managing multiple initiatives, discussing priorities and trade-offs as needed, clearly communicating progress and next steps, soliciting feedback and decisions throughout the process, and driving projects to successful completion.

As the ROM, you will be entrusted with sensitive information and must demonstrate impeccable judgment in safeguarding the family's privacy and reputation.

Responsibilities

• Household Management: Ensure the home maintains a hotel-like atmosphere, providing a consistently high level of comfort, cleanliness, and service to create an exceptional living environment for the family. Hire, supervise and coordinate with maintenance and service contractors; develop a home maintenance schedule, and ensure the home is always clean, organized, and functioning properly.

• Project Management: Spearhead and execute long-term projects with impeccable attention to detail, ensuring optimal workflow and efficiency. Develop comprehensive standard operating procedures and implement contingency plans to maintain seamless operations during staff absences.

• Vendor management: Responsibilities will include cultivating and maintaining a network of elite service providers for all household needs. The ROM will coordinate vendor arrivals and departures with precision and serve as the primary liaison between the family and external service professionals. This includes monitoring and supervising vendors onsite, ensuring the quality of work meets expectations, and reporting back on progress, any issues, or completion status to the Principals.

• Construction Projects and Property Management: Oversee construction projects across multiple properties, including renovations, upgrades, and general maintenance, ensuring coordination with contractors, vendors, and design teams for timely and budget-conscious completion. In addition to the primary residence, there are other properties under the Principals’ ownership that may be rented out. The ROM will be responsible for coordinating with property managers to ensure smooth rental operations, including handling tenant needs, overseeing property maintenance, and ensuring all properties are well-maintained and functioning at a high standard.

Expectations

• Minimum of 3 years of experience in residential management, estate management, or luxury property management

• Proven track record of managing staff, vendors, and contractors with a strong understanding of household operations

• Proactive mindset with a bias towards action; ability to see around curves and several steps ahead (anticipate and prevent future challenges)

• Flexible mentality, adaptable and can pivot with ease

• Solutions-oriented problem solver, able to identify challenges and implement creative, effective, efficient solutions in a time-sensitive manner

• Excellent communication skills and real-time responsiveness; strong sense of urgency when needed

• Exceptional organizational and project management skills, with an eye for detail; ability to manage multiple projects, tasks and priorities efficiently in a dynamic environment

• Calm, collected, courteous, and friendly demeanor when communicating with principals and contractors while maintaining a strong sense of etiquette

• Experience in vendor management and coordination, knowledge of local Bay Area service providers and vendors is a plus

• Ability to travel to other properties as needed (1-2x per year) to ensure consistent standards across multiple locations

• Discretion and confidentiality are essential, with the ability to handle sensitive matters professionally.

Compensation & Benefits

• Salary Range: $135,000 - $155,000 (DOE)
