Overview: Single Family Office is seeking an experienced Executive Personal Assistant to support the Founder of an Investment Management Firm and his wife in Downtown Manhatten. This position requires a highly organized, proactive, and adaptable individual who can handle a variety of tasks and responsibilities with precision and efficiency. The ideal candidate will have experience in managing both personal and professional aspects of a family’s affairs.

Responsibilities:

  • Manage the family’s calendar, including scheduling meetings, appointments, restaurant reservations, and vendor maintenance visits on 3 residences.
  • Assist with travel arrangements for the Managing Partner and his family, including flights, lodging, cars, boats, and excursions.
  • Oversee vehicle management, registration renewals, coordinate car leases, loans, and repairs.
  • Manage special projects, including philanthropic efforts and large events.
  • Maintain corporate and personal filing systems and document storage.
  • Personal shopping as assigned by the Managing Partner and his spouse along with the maintenance of gift schedules and preference sheets for family, friends and associates.
  • Property management for multiple NYC residences and a Hamptons summer home. Includes oversight of vendor relationships and maintenance schedules.
  • Assist with correspondence, presentations, and other administrative tasks as needed by the Founder.
  • Assist with budget management, financial planning, and expense tracking using spreadsheets.

Requirements:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proven project management capabilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with budget management
  • High level of discretion and confidentiality.

 Qualifications:

  • Bachelor’s degree 
  • Minimum of 3 years of experience in a similar role, preferably in a Family Office or supporting a high-net-worth family
  • Ability to travel intermittently to the Hamptons for the summer season (housing provided by employer)
