This position will report to the family’s Executive Assistant & Estate Manager and act as a buffer for the Principal for personal and household-related tasks.  The ideal candidate is someone proactive and detail-oriented individual who can manage the personal and household responsibilities of the family. The PA will be responsible for scheduling appointments, assisting with coordinating travel arrangements, and overseeing daily household operations to ensure a smooth and efficient environment. This includes coordinating the family calendar, handling correspondence, and performing errands, all while maintaining a high level of discretion and confidentiality regarding personal matters.

The ideal candidate will possess strong communication and interpersonal skills, allowing them to build positive relationships with the family and other staff members. They should be adaptable and capable of managing multiple tasks simultaneously, as the role demands flexibility in responding to the family's changing needs. A background in household management or personal assistance, along with proficiency in relevant technology and software, will be beneficial in executing the responsibilities effectively. Additionally, the candidate should have a positive attitude, be upbeat, and bring energetic enthusiasm to their role.

Requirements

  • 5 – 10 years industry experience
  • Valid driver’s license with a clean record
  • Capable of passing an extensive background check and BAI interview
  • Strong and diligent communicator, both written and verbal
  • High level of discretion, loyalty, integrity, and honesty

Duties & Key Success Factors

All duties are shared by the team.  Some duties may include details that are not listed, and some that are listed may never be requested as they are done by someone else. 
 
  • Family Activity & Event Coordination: Planning and managing family activities, social events, health appointments, medication schedules, wellness activities, and other engagements for the principal and family. 
  • Personal Scheduling: Managing the personal calendar of Mrs., including scheduling appointments, family activities, and social events.
  • Travel Arrangements: Assist the EA/EM in coordinating travel plans for the principal and their family, including booking flights, accommodations, and transportation, as well as preparing itineraries.
  • Errand Running: Performing various personal errands, such as grocery shopping, picking up dry cleaning, and handling other day-to-day tasks that the principal may require.
  • Communication Management: Handling personal correspondence, including emails, phone calls, and messages, and ensuring timely responses to inquiries.
  • Event Planning: Organizing personal events, such as family gatherings, parties, or special occasions, including logistics, catering, and guest management.
  • Childcare Support: Assisting with childcare duties, including coordinating schedules for children's activities, playdates, and appointments, if applicable.
  • Health and Wellness Management: Keeping track of 
  • Meal Prep and Cooking: Provide breakfast for the family each day.
  • Problem-Solving: Addressing any issues that arise in the household or personal life of the principal, finding solutions, and ensuring continuity of daily operations.
  • Personal Transportation: Driving the family as needed for appointments, travel, and events.
  • Tech & Digital Organization: Assist with personal tech setup, troubleshoot minor tech issues, and organize digital files.
  • Vehicle Maintenance Oversight: Arrange servicing, handle registrations, and ensure vehicles are clean and well-maintained.
  • Home Organization & Inventory Management: Track household supplies, organize personal items, and ensure necessary restocking. Manage the delivery and returns of Amazon and other online orders.

Other Considerations

This position calls for an individual with prior experience in supporting a large family, someone who demonstrates a passion and enjoyment for what they do.   
 
PHYSICAL REQUIREMENTS
 
  • Ability to lift 40 pounds
  • Frequent bending, stooping, and stretching
  • Ability to negotiate a multi-story house with stairs many times a day
  • Ability to use a ladder up to 6’
