Due to our continued growth and success, we are looking for qualified candidates for an Executive Personal Assistant for the President of our organization. You will have the ability to work out of any of our Encore offices but you should know, he’s on the go and travels quite often across the Northeast. If you are right for this role you should live in Fairfield County to help support him with both business and personal matters as well as being willing to travel when needed. We are looking for somebody with a “get it done” confident personality, with strong interpersonal skills necessary to build relationships and be the “face” for the President when needed.

Here's a breakdown of the functional areas where he needs support:

Property Management:

  • Oversee the maintenance and upkeep of the estate's buildings, grounds, and amenities.
  • Coordinate repairs, renovations, and landscaping projects as needed.
  • Ensure that the property is kept in pristine condition and meets the owner's standards.

Staff Management:

  • Hire, train, and supervise estate staff, including groundskeepers, housekeepers, nannies, and maintenance workers.
  • Create schedules, assign tasks, and oversee performance evaluations.
  • Handle disciplinary actions and resolve any staff conflicts or issues.

Financial Management:

  • Develop and manage the estate's budget, including expenses for maintenance, staff salaries, and supplies.
  • Negotiate contracts with vendors, service providers, and contractors.
  • Monitor expenses and ensure that the estate operates within budgetary constraints.

Hospitality and Event Planning:

  • Coordinate and oversee events hosted at the estate, such as parties, weddings, or corporate retreats.
  • Ensure that guests are welcomed and accommodated according to the owner's preferences.
  • Arrange catering, entertainment, and other logistical details for events.

Administrative Duties:

  • Manage administrative tasks such as scheduling appointments, handling correspondence, and maintaining records.
  • Serve as a point of contact for the owner, handling inquiries and relaying messages as needed.
  • Prepare reports, presentations, and other documentation for the owner's review

Special Projects:

  • Undertake special projects as assigned by the owner, such as renovations, landscaping enhancements, or property expansions.
  • Research and propose new ideas or improvements to enhance the estate's functionality and appeal.

  • A friendly and energetic personality that comes across over the phone and in written communication
  • Above average proficiency with technology. Walking in the door you have to know Microsoft Suite (Outlook, PowerPoint, and Excel above others) beyond that, we need someone with verifiable ability to self-teach other new and emerging platforms
  • A natural inclination towards putting customers first
  • Willingness to try learn, new things, admit mistakes, adapt and change
  • Impenetrable focus
  • Embraces a "can-do" and team-first attitude
  • Attention to detail that borders on obsessive
  • The ability to defuse situations through empathy and logical problem solving
  • A 4-year college degree is preferred but is no substitute for self-confidence, initiative, and unwavering internal motivation to be the best in your field
