POSITION ESSENTIAL DUTIES & RESPONSIBILITIES

The following are duties, responsibilities, and leadership roles that the Director of Personal Services shall provide:

 

Leadership & Team Coordination

 

  • Manage Personal Assistants and body persons, including scheduling, hiring, separations, and performance management.
    • Serve as a contributing member of the Chairman’s Office team, assisting with any projects or initiatives requiring support.
    • Represent the Chairman and the Chairman’s Office with professionalism, effectiveness, and kindness at all times.
    • Develop and maintain a comprehensive office manual documenting workflows, responsibilities, and best practices.

 

Asset & Household Oversight

 

  • Assist in maintaining Chairman’s and family’s personal assets, including homes, family center, planes, boats, cars, art, jewelry, books, and collectibles.
    • Maintain personal insurance policies (medical, home, vehicle, valuables).
    • Manage registrations, memberships, subscriptions, and financial accounts.
    • Coordinate household inventory and collaborate with household staff to ensure accuracy and organization.

Health, Travel & Event Coordination

 

  • Liaise with medical professionals to manage or monitor Chairman’s medical conditions as needed.
    • Plan and coordinate personal events, including catering, décor, RSVPs, and other event-related details, leveraging corporate events support when appropriate.
    • Coordinate travel for the Chairman and family, including flights, hotels, dining, activities, and transportation—verifying all logistics and ensuring preferences are met.
    • Advance the Chairman on trips to confirm all details are finalized before arrival.
    • Assist family members with personal travel, school-related activities, and appointments.
    • Ensure vehicles and boats are positioned and available as required.

 

Vendor & Purchasing Management


  • Oversee acquisitions of personal items and coordinate with vendors for purchases on behalf of the Chairman and family.
    • Maintain relationships with external service providers to ensure timely, quality service delivery.
    • Coordinate services for move management and ground transportation to support smooth family transitions between residences.

 

Gifting & Special Projects


  • Collaborate with the Chairman on personal and professional gifting programs: research, acquire, wrap, send, and track gifts.
    • Assist with special projects at the direction of the Chairman’s Office, including personal or household-related initiatives.

Professional Standards & Confidentiality

 

  • Exercise the highest level of discretion to protect the privacy of the Chairman and family.
    • Maintain a poised, professional, and polished demeanor in all interactions.
    • Regularly perform weekend, early morning, and evening work as required.

 

EDUCATIONAL/SKILL REQUIREMENTS

The Director of Personal Services requires a minimum of a bachelor’s degree with at least 10 years of experience in a private/formal home administrative environment.

  • Microsoft Office: 7 years (Required).
  • Personal assistant: 7 years (Required).
  • Excellent computer and technology skills.
  • Strong organizational and time management skills.
  • Excellent attention to detail.
  • High-energy with a can-do attitude.
  • Ability to grasp concepts quickly while being discrete and keeping confidentiality.
  • Assumes a poised, professional, and polished style in all encounters.
  • Excellent written, oral and telephone skills infused with the utmost level of customer service.
  • Team-player spirit with a calm demeanor.
  • Excellent attention to detail and willingness to handle household/service responsibilities, both large and small.
  • Ability to work in an environment with children and dogs.
  • Must be able to work independently to meet deadlines, be a self-starter and work extended hours as needed.
  • Legally allowed to work in the United States.
  • Moderate Travel Required (33%).
  • Willingness to sign a confidentiality agreement.
  • Must maintain clean background screening, drug screening and driving record.
