Overview:
A kind and grounded family in Palm Beach is seeking a hands-on, resourceful, and detail-oriented Estate Manager to oversee daily operations of their 25,000-square-foot oceanfront home. The property features advanced smart home technology and requires proactive, preventative maintenance and thoughtful care. The ideal candidate is a humble, mature, and steady leader who enjoys creating structure, building systems, and fostering a calm, respectful environment.
 
Key Responsibilities:Property & Maintenance Management
  • Oversee all aspects of property operations, maintenance, and preventative care for the estate’s interior and exterior.
  • Manage and monitor smart home systems (Savant), HVAC, pools, and other amenities.
  • Coordinate repairs, renovations, and vendor relationships, ensuring top standards and minimal disruption.
  • Maintain detailed records of maintenance schedules, warranties, and service logs.
  • Collaborate closely with leadership on budgets, capital improvements, and property planning.
Team Leadership
  • Partner with leadership to supervise a large team including housekeepers, groundskeepers, chefs and assistants.
  • Foster a collaborative, positive, and respectful team culture.
  • Provide coaching, training, and clear systems to ensure smooth daily operations.
  • Model emotional maturity and professionalism while navigating interpersonal dynamics with grace and discretion.
Systems & Operations
  • Implement organizational tools and management systems (ideally Nines Living) to streamline communication, maintenance tracking, and scheduling.
  • Develop and document estate procedures, checklists, and standards of care.
  • Ensure consistent readiness of the property for family and guests.
Partnership & Communication
  • Serve as a trusted operational partner to the Lady of the house & The Chief of Staff, supporting both day-to-day execution and long-term planning.
  • Communicate effectively with principals, vendors, and team members, maintaining professionalism and confidentiality.
  • Work collaboratively to uphold the family’s values of kindness, respect, and balance.
Qualifications:
  • Minimum 5+ years of experience managing a large private estate or comparable property.
  • Strong technical understanding of home systems (HVAC, lighting, pools, Savant or Crestron, etc.).
  • Background in construction, renovation, or facilities management preferred.
  • Proven ability to lead teams and implement efficient, organized systems.
  • Excellent communication skills, discretion, and emotional intelligence.
  • Calm, capable, and humble demeanor with a hands-on approach and a sense of humor.
  • Tech-savvy and comfortable with modern estate management software.
  • Local candidates or those with ties to South Florida preferred.
