Role Description
We are seeking an exceptionally organized and highly detail-oriented Executive Assistant to provide dedicated support to our CEO. The ideal candidate will act as a strategic partner to the CEO, ensuring the smooth management of day-to-day activities, maintaining a high level of professionalism, and handling sensitive information with discretion. This role requires someone who thrives in a fast-paced environment, is proactive, resourceful, and an expert in anticipating needs.
What You'll Do
Calendar and Scheduling Management
- Manage the CEO’s complex calendar, ensuring all appointments, meetings, and events are scheduled efficiently.
- Coordinate internal and external meetings across multiple time zones, ensuring proper allocation of time for preparation and follow-ups.
- Proactively resolve scheduling conflicts while prioritizing the CEO’s time and commitments.
- Provide reminders and updates for upcoming meetings or events.
Meeting Preparation and Follow-Up
- Assist in preparing materials for meetings, including agendas, presentations, talking points, and briefing documents.
- Conduct research on individuals, companies, and institutions to ensure the CEO is well-informed prior to meetings.
- Take detailed notes during key meetings as needed and assist with follow-up actions.
Travel and Event Coordination
- Plan and manage all aspects of the CEO’s travel arrangements, including flights, accommodations, ground transportation, and itineraries.
- Organize company offsites, executive dinners, and other events, ensuring seamless execution.
- Prepare travel documents, meeting materials, and schedules prior to trips.
Communication and Relationship Management
- Screen and manage incoming communications, including emails and phone calls, ensuring timely responses or delegations.
- Build and maintain strong relationships with key contacts, including clients, partners, and team members.
Administrative Support
- Maintain confidential files, records, and documents.
- Handle expense reports, reimbursements, and budget tracking for the CEO.
- Anticipate and address the CEO’s administrative needs proactively.
- Serve as a gatekeeper and ensure the CEO’s focus on high-priority tasks.
Qualifications and Skills
Experience: Minimum of 5 years in an Executive Assistant or similar role, preferably supporting a C-level executive.
Confidentiality: Demonstrated ability to handle sensitive and confidential information with discretion.
Organization & Multitasking: Exceptional organizational skills with the ability to prioritize tasks effectively and manage multiple projects simultaneously.
Communication: Excellent written and verbal communication skills, with strong interpersonal skills to interact with high-level stakeholders.
Tech-savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with tools like Chat GPT, Zoom, Slack, and scheduling software.
Attention to Detail: Meticulous attention to detail and ability to produce high-quality work under tight deadlines.
Adaptability: Comfortable working in a fast-paced, dynamic environment with the ability to anticipate needs and solve problems independently.
Proactive Mindset: A self-starter who takes initiative and works well independently. Education: Bachelor’s degree preferred, or equivalent professional experience.
What We Offer
Primarily remote work with the ability to work in the Cambridge, MA office 2-3 days a week.
Salary Range - $85k-$100k, starting salary will be commensurate with experience. 3 month trial period required.
