Description

Two entrepreneurs seek a rock star, emotionally mature personal assistant in the mid-town Tulsa area for their business and personal lives. They own two businesses, one non-profit, and have three small children along with four dogs.

 

TECHNOLOGY SKILLS: Mac OSX, Google Suite, Microsoft Suite, Slack, Zoom, Trello

 

OFFICE DUTIES AND RESPONSIBILITIES

  • PAPERWORK: Organize paperwork including sorting, filing, scanning, digital archiving, and shredding.
  • CALENDAR MANAGEMENT: Support calendar management including family, personal travel and meetings.
  • ORGANIZE: Help declutter and maintain an organized office and household.
  • OFFICE SUPPLIES AND PURCHASES: Track and maintain inventory office and household supplies.
  • MAILING AND SHIPPING: Collect, prepare and ship mail and packages.

PERSONAL DUTIES AND RESPONSIBILITIES

  • FOOD PREP AND GROCERIES: Plan and prepare up to 21 meals per week.
  • HOLIDAYS AND EVENTS: Support planning, coordinating, and executing business and personal events.
  • PET CARE: Coordinate and provide care (feeding, medications, exercise, vet appointments and visits).
  • GIFT GIVING: Coordinate professional and personal gifts and cards.
  • ASSIST PERSONAL STAFF: Serve as liaison and team as needed with housekeeping staff as requested.
  • VEHICLE CARE: Ensure vehicles are maintained and cleaned on a regular basis.
  • LOCAL RESOURCE GURU: Familiar with local Tulsa directions and resources.
  • ERRANDS AND SHOPPING: Conduct miscellaneous business and personal errands as requested.
  • ADDITIONAL: Other duties and responsibilities apply as assigned based on business and personal needs.

 

PERSONAL SKILLS AND EXPERIENCE

  • EXPERIENCE: Minimum of 3-5 years related experience.
  • COMMUNICATION: Demonstrate exceptional written and verbal communication. Respond timely to all communication during work- and none-work hours. Possess strong phone-, video-, and in-person presence.
  • DEMEANOR: Strong customer service and social skills. Kind and pleasant with high emotional maturity, with the ability to leave personal issues at home; all with the utmost discretion related to everyone’s privacy.
  • UNIQUE ABILITY TO JUGGLE: Ability to prioritize and multi-task effectively, and still at the end of the week, the frig is stocked, meals are prepped, cars are clean, pets are fed and exercised and office/home are organized.
  • PHYSICAL ABILITIES: Stand for extended periods of time, lift and carry up to 50 pounds. See, feel, and hear. Ability to work around animals.
  • ATTIRE: Neat and tidy, yet casual.
  • TEAM WORK: Ability to work independently and as part of a team.
  • WORK SCHEDULE: Flexible with the availability to work overtime as needed.
  • RIGHT TO WORK: Valid US work authorization.
  • DRIVING: Valid Driver’s License, active insurance coverage and clean driving record with access to reliable personal transportation for work purposes (mileage will be tracked and reimbursed).
