Position is full-time status, includes housing (2bd, 1& ¾ bath; fully furnished optional), competitive salary, as well as health benefits, vacation, holiday pay, 401k and much more!

Position Description

The Estate Caretaker is responsible for overseeing the maintenance of all interior and exterior areas of the main house, Caretakers’ residence, and the guest house, as well as preparing for visits by owners and guests. The Caretaker regularly inspects the residences and properties to ensure they are secure, and ready to be occupied at any time. The Caretaker oversee the day-to-day activities of the landscape crew, housekeepers, service providers, vendors, and maintains the housekeeping and maintenance calendars so that agreed-upon tasks are completed on a regular basis.  The Caretaker, reports to, and works closely with the Chief Operating Officer of the company and communicates regularly with ownership.

Essential Duties Include (but not limited to)

  • Represent the organization with the highest level of professionalism and confidentiality
  • Perform duties discreetly, allowing for privacy when family members are present
  • Remain watchful; call out any potential issues and actions needed in assigned areas
  • Address immediately (if feasible), and notify management timely of any safety-related issues
  • Call out any current processes or procedures that can be improved
  • Provide oversight of all activities related to the appearance and maintenance of the residences/properties, and ensure timely and high-quality completion of all tasks
  • Develop an understanding of the family’s preferences in relation to matters that affect appearance, comfort, and readiness for guests
  • Suggest action plans to accomplish goals of owners and execute in partnership with COO
  • Concierge duties required for family and guests
  • Manage and orchestrate events on the property

Supervisory Duties

  • Leader, coach, mentor, and role model for all direct reports (2-3)
  • Ensure safe working conditions at all times
  • Motivate and encourage individual development of staff members
  • Provide constructive feedback in a positive way
  • Provide training for staff members
  • Conduct regular reviews of safety procedures with crew members
  • Determine priorities on an on-going basis and assist staff with shifting schedules and ever-changing targets
  • Oversee coverage plans for all direct reports when they are out (sick, vacation, other approved time off)
  • Address and correct staff performance issues, in partnership with management and Human Resources, through coaching and following up to ensure improved performance
  • Develop schedules and allocate landscape crew members to regular maintenance and projects, as needed
  • Ensure employees utilize timekeeping system to record all hours worked, review, approve, and submit to Payroll complete and accurate records, work summaries, time off requests, and overtime approvals
  • Hiring of staff in partnership with HR and COO, as needed
  • Oversee housekeeping service providers
  • Oversee other service providers
  • Oversee vendors
  • Utilize independent and reasonable judgement in the execution of duties and decisions made

Qualifications – Knowledge and Skills

  • Advanced family office experience desired
  • Multi-property high-end Estate management experience required, minimum 3-5 years
  • General knowledge of maintenance, carpentry, plumbing, wells, and water systems
  • Elevated knowledge of high-end smart homes, alarms, and maintenance systems
  • Systems knowledge (TV, cable, WiFi, pool, spa, HVAC)
  • Sound knowledge of groundskeeping management and operations
  • Acute business skills in planning, organization, and technology
  • Intricate knowledge to care for and maintain fine finishes/furnishings
  • Concierge services
  • Impeccable representation of the property and owners
  • Highest level of confidentiality
  • Professionalism in appearance and demeanor
  • Able to provide leadership and exhibit high service standards for staff and outside service providers
  • Ability to prioritize, handle multiple tasks under pressure, and meet deadlines
  • Patience and flexibility
  • Strong attention to detail
  • Robust follow-up skills
  • Ability to work with minimal supervision
  • Excellent communication (verbal and written)
  • High degree of motivation – self-starter
  • Advanced computer skills, including, but not limited to, Microsoft Word, Excel and Outlook.
  • Experience with scanning and creating files
  • Experience with smart phones and willingness to be available for urgent issues during non-work hours
  • Google Sites experience a plus
  • Valid California Driver’s License and clean driving record, per DMV Report
  • Ability to fly comfortably in small aircraft when requested
  • Skills necessary to operate vehicles with stick shift
  • Ability to understand Spanish fluently is highly desired
  • Willing and able to travel as needed
