Full Time Multi-Property House Manager

A private family with residences in Menlo Park and San Francisco has an immediate opening for a multi-tasking, flexible, organized and self-starting individual to serve as a Full-Time House Manager. Candidate must be comfortable working and managing schedules between both homes (roughly 60% Menlo Park and 40% San Francisco).

This hybrid position will be responsible for managing a blend of property management and personal assistant duties within the clients’ homes and around the properties. The House Manager will serve as the main point of contact for all vendors, guests, and principal requests. 

Expected work hours are M-F 9-4, with an occasional weekend or evening as needed. Working hours could change when the principals are/are not in residence.

Responsibilities

  • Equally strong performing “front of house” and “back of house” duties (i.e: from coordinating special events to managing contractors) 
  • Proactively schedule home maintenance, manage all vendors on properties, understand the work performed and check for quality assurance 
  • All errands, returns, shopping, appointments and shipping
  • Tech savvy and administration - upkeep of house manual and managing all data in various applications, as well as calendar management and daily administration
  • Coordinate vehicle maintenance, registration, detail and fuel 
  • Accepting all deliveries – opening, distributing, notifying, breaking down boxes
  • Manage and provide direction to Housekeepers, Gardeners and Handymen
  • Prepare house for principals’ arrival and departure, and ensuring it looks like a hotel on a daily basis 

Qualifications:        

  • Comfortable making decisions and acting in the best interest of the principal without much direction or feedback
  • Ability to work independently yet, effectively communicate, contribute and collaborate in a small team environment. 
  • Highly organized, overly responsible, excellent time management, servant/leader mentality
  • Self starter who can work independently and make things happen quickly
  • Ability to maintain discretion (confidentiality agreement is required)
  • Professional presentation and ability to handle responsibilities with ease and calm demeanor.

Requirements: 

  • Bachelor's degree 
  • A minimum of five years’ house management experience with no gaps in employment. Seeking long term commitment (e.g., 5+ years)
  • Ability to complete extensive background checks
  • Reliable transportation with a valid driver’s license and insurance
  • Must be a US citizen and lived in the Menlo Park area for at least five years
  • Experience with HNW families a huge advantage, but not required
  • Physically active with ability to lift up to 50lbs and use stairs.
