Description

Seeking a candidate to support Principle and Chief of Staff in a private home office. You must be proactive, discreet, detail-oriented and able to move fluidly between high-stakes professional tasks and pivot when necessary. This position will provide comprehensive administrative support while coordinating multiple projects, ensuring efficient operations and successful project delivery. The position is Full-Time with paid Holidays.

Administrative Support:

  •  Manage calendars, schedule meetings, and coordinate appointments
  •  Prepare and distribute meeting agendas, take minutes, and track action items
  •  Handle correspondence, including emails, letters, and phone calls, etc. 
  •  Maintain systems and organize important documents
  •  Some local travel and logistics required
  •  Prepare reports, presentations, and other business documents
  •  Manage and update email distribution and contact lists
  •  Proficient with virtual meeting management (i.e. Zoom, Teams)
  •  Manage any office supplies and equipment needs

Project Coordination:

  •  Assist in project planning, scheduling, and resource allocation
  •  Track project timelines, milestones, and deliverables
  •  Coordinate communication between team members, stakeholders, and external partners
  •  Organize and facilitate project meetings and status updates
  •  Maintain project documentation and files
  •  Identify potential issues and escalate to project managers as needed
  •  Support project reporting and analysis
  •  Track action items and follow up on deliverables with team members
  •  Maintain project schedules and alert managers to potential delays or conflicts
  •  Prepare status reports, dashboards, and project documentation

Requirements: 

  •  Bachelor's degree or equivalent experience
  •  2 - 3 years of administrative assistant experience required
  •  This is an in-person position, Monday-Friday 9:00 A.M. to 5:00 P.M.
  •  Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  •  Strong organizational and time management skills
  •  Excellent written and verbal communication abilities
  •  Attention to detail and accuracy
  •  Ability to multitask and prioritize
  •  Professional demeanor and strong interpersonal skills
  •  Experience with project management software systems is a plus
  •  Knowledge of project management principles
